Job overview

As part of the Child Death Review Team, the post holder will provide high‑quality secretarial and administrative support, organising workload independently and ensuring timely communication with stakeholders across the multisectoral response to child deaths.


Main duties of the job

* Notify child deaths on the National Child Mortality Database (eCDOP) platform and maintain the database.
* Manage the rota, record and distribute correspondence, and arrange regular and ad‑hoc meetings.
* Take and circulate clear and concise notes and minutes of meetings.
* Support report writing, data analysis and presentation preparation.
* Maintain SharePoint and electronic filing systems for the team and other information systems (checklists, circulation lists).
* Coordinate diaries of senior staff and organise meeting logistics (venues, Microsoft Teams invites, refreshments, presentation aids).
* Act as the main contact for consultants, health professionals, police, the coroner and social care.
* Assist with Child Death Trigger submissions on the Datix system and notify local health professionals.
* Operate a bring‑forward system to ensure timely follow‑up of issues.
* Support the team’s information gathering for the National Child Mortality Database.
* Support the service’s quality and specification requirements.


Training & Qualifications

* 4 GCSEs or equivalent, including English and Maths.
* NVQ level 3 in administration or equivalent.
* ECDL or equivalent ICT certification.
* RSA III word‑processing/text‑processing or equivalent.


Experience

* Minimum of 2 years of secretarial or administrative experience.
* Audio typing experience.
* Minute‑taking experience.
* Proficient in Microsoft Office and Microsoft Teams, including Excel spreadsheets.
* Experience handling sensitive, emotive and confidential information.
* Evidence of working in integrated, multi‑agency environments.
* Knowledge of National RTT targets and medical terminology.
* Previous NHS work experience.
* Knowledge of hospital IT systems (e.g., Careflow, Notis, Integra, Supply Chain).
* Knowledge of SharePoint and AI‑powered meeting recording tools.

* Prepared to complete letters, forms, reports, and tables using computerised technology.

* Comfortable with reading, hearing and dealing with distressing child deaths.
