The North Yorkshire Diabetic Eye Screening Programme has a vacancy for an administrator to join our team in York. We are looking for a confident person with experience of working in a busy environment.
The service provides retinal screening to over 47,000 people with diabetes across North Yorkshire. The admin role is pivotal to the smooth running of the service.
You will enjoy helping patients and be comfortable working with the latest software packages and learning how to use bespoke screening software. It is essential that you have excellent customer care skills and the ability to work as part of a team.
There is a big focus on making sure that patients are in the correct pathway. The candidate will be expected to take on specific failsafe tasks within the programme to ensure patient safety.
You will be able to demonstrate a high level of communication skills, with the ability to prioritise competing demands in a busy environment.
We work Monday to Friday during the daytime, with occasional Saturday work.

Main duties of the job
* Book patient appointments across all screening sites, ensuring patients are offered their diabetic eye screening in line with service objectives.
* Arrange flexible appointments to ensure convenience for service users and minimise DNA (Did Not Attend) rates.
* Deal courteously with enquiries from GPs and service users, passing medical or complaint enquiries to the appropriate personnel.
* Create and maintain an accurate register of patients requiring diabetic eye screening, based on GP referrals.
* Follow all programme failsafe procedures and report risks to the Admin Team Leader.
* Ensure patients are invited for screening when due, set up clinics, and send timely appointment reminders.
* Book rooms with GP surgeries and other venues for screening clinics.
* Monitor service activity and advise the Team Leader or Programme Manager of any risks to achieving national standards.
* Send screening results to GPs and patients within the designated timescales.
* Provide training, supervision, and mentorship to new staff.

Person specification
Essential criteria
* Maths and English GCSE Grade C or above (or equivalent).
* Experience working with the public and in customer care.
Desirable criteria
* Understanding of policies, protocols, and guidelines.
* Knowledge of NHS diabetic eye screening (DES) programme guidance.
* Experience working within an administration team/environment.
* Experience with database applications.
