As a member of the central support services team, the central coordinator will provide professional, efficient, and proactive administrative support for HRW’s global business needs. You will ensure that the administrative aspects of HRW’s operational workflows are efficient and executed promptly. Supporting our costings & revenue workstream alongside research project teams, this role is vital in maintaining a seamless system.
Your key responsibilities will include:
* Booking ad hoc freelancers, negotiating rates, and setting up statements of work.
* Supporting resource booking requests and management throughout projects.
* Onboarding third-party freelancers, providing training materials, and ensuring they are set up with company instructions.
* Ensuring invoices, purchase orders, and relevant training are processed as per freelancer setups.
* Booking conferences and assisting marketing teams where applicable.
* Managing annual subscriptions, monitoring inboxes, and maintaining company repositories.
* Providing admin support to project teams, including setting up meetings, creating project folders, and supporting client meetings.
* Monitoring company inboxes, responding to queries, and signposting for internal actions.
* Creating and maintaining central repositories on SharePoint.
* Reconciliation, tracking, monitoring, and recording project finances.
* Supporting pre-project costings at the pre-bid stage.
It is vital that you respond quickly and efficiently to requests, with strong planning and organizational skills to prioritize tasks effectively.
Requirements
We seek an individual passionate about delivering excellence and eager to improve their skills. Support and progression through professional qualifications will be available via a Business and Administration apprenticeship program.
You will receive a structured induction, training plan, and regular reviews with your line manager. Your onboarding program will be tailored to your needs, with progression at your pace.
This part-time role is hybrid, requiring a minimum of two days in the office per week. Working hours are typically 09:00-17:30, Monday to Friday, with flexibility for 3-5 days and 20-25 hours per week based on candidate preferences.
