Position Overview
The Order Fulfillment Coordinator plays a critical role in managing the end-to-end order fulfillment process — from reviewing and validating incoming orders to coordinating shipment and delivery with internal teams and external partners. This position ensures orders are accurate, complete, and fulfilled on time while providing excellent customer experience and effective communication across departments.
Key Responsibilities
Order Review & Validation
* Review incoming orders to ensure all required information is complete and accurate, including Tax ID, billing and shipping details, delivery requirements, and any special instructions.
* Validate delivery and estimated ship dates; confirm with Sales when dates are missing or unclear before finalizing delivery scheduling (DDSD).
* Verify inventory availability and coordinate with internal teams to resolve discrepancies prior to processing orders.
Order Processing & Management
* Enter, update, and maintain orders in the company’s order management or ERP system.
* Monitor order progress throughout the fulfillment lifecycle to ensure adherence to schedules and commitments.
* Split orders when a full order cannot be fulfilled at once — create partial fulfillment shipments while maintaining clear tracking and communication.
Coordination with Internal Teams
* Work closely with Sales, Logistics Coordinators and Customer Service to schedule shipments and resolve fulfillment issues.
* Liaise with Sales to clarify order requirements, product questions, and update estimated ship dates as needed.
* Collaborate with Logistics Coordinators on planning shipments, selecting carriers, coordinating pick-ups, and preparing shipment documentation.
Customer Communication
* Provide proactive communication to customers regarding order status, shipment tracking, delays, or changes.
* Respond to customer inquiries or issues with professionalism and escalate when necessary.
Documentation & Reporting
* Maintain accurate records of order status, shipment tracking, and exceptions in internal systems and reports.
* Generate regular status reports to support visibility across teams and stakeholders.
* Ensure invoices are issued upon shipment execution
Qualifications
Education & Experience
* Diploma or degree in Logistics, Supply Chain, Business Administration, or related field preferred.
* 1–3+ years of experience in order fulfillment, order management, logistics coordination, or a related operational role.
Skills & Competencies
* Strong attention to detail with excellent organizational and multi-tasking abilities.
* Proficient in Microsoft Office (especially Excel) and experience with order management or ERP systems.
* Excellent communication and interpersonal skills for coordinating with cross-functional teams and customers.
* Customer-oriented mindset with problem-solving and prioritization skills.
* Ability to work independently, manage time effectively in a fast-paced environment.
