Overview
Broxtowe Borough Council manages a diverse General Fund property estate, including retail, industrial, community, and office assets. Their Estates team ensures effective property management, strong landlord-tenant relationships, and compliance with statutory and corporate requirements. The service is committed to delivering high-quality, timely, and professional estate management. The Estates Officer will support the Head of Service and Estates Manager in managing the Council's General Fund property estate. This includes handling a personal caseload of properties, undertaking lease renewals, rent reviews, new lettings, service charge administration, inspections, and general estate management duties. Assist with the management of the Council's General Fund property estate across retail, industrial, community, and office assets.
Responsibilities
* Manage a personal caseload, including lease renewals, rent reviews, licences, insurance recharges, new lettings, and lease terminations.
* Deliver day-to-day estate management in line with Council policies and RICS principles.
* Build and maintain strong landlord-tenant relationships with clear and timely communication.
* Market, negotiate, and complete new lettings; undertake inspections, viewings, and property marketing.
* Instruct and manage external consultants for complex lettings where required.
* Administer tenant rent accounts, including invoicing, account creation/termination, and arrears resolution.
* Manage service charge accounts, including annual budgets, reconciliations, schedules, reports, and invoicing.
* Undertake and document regular inspections of land and buildings.
* Work collaboratively with internal departments such as Legal, Finance, Business Support, Business Rates, Housing, and Economic Development.
* Manage the property inbox, coordinating and responding to enquiries promptly.
* Provide professional property advice to internal and external stakeholders.
* Support annual asset valuations, liaising with auditors and external valuers.
* Manage third-party and utility provider access requests and negotiate terms.
* Assist with inspections, investigations, and drafting reports for delegation or Cabinet submission.
* Carry out additional duties within the scope of the role as required.
Qualifications
* Experience in property, estates management, or a related administrative/clerical role.
* Strong organisational and communication skills.
* Ability to manage a varied caseload and meet deadlines.
* Experience working with tenants, stakeholders, or customers in a professional setting.
* Ability to produce accurate records, reports, and financial documentation.
* Competent in IT systems and property-related administration.
* Full UK driving licence (designated car user).
* Willingness to work occasional evenings or outside normal office hours when required.
