Compliance Coordinator
Location: Beeston, Nottingham
Hours: Monday - Friday, 8:00am - 5:00pm (40 hours per week, including 1-hour unpaid lunch)
About the Role
We are looking for a highly organised and detail‑driven Compliance Coordinator to support the delivery of the account compliance function. You'll play a key role in ensuring the client's CAFM system is accurately maintained and that all preventative maintenance activities are scheduled, completed, and documented in line with contractual SLAs and compliance requirements.
Working closely with internal teams and external subcontractors, you'll oversee the end‑to‑end preventative maintenance process, champion the CAFM system, and ensure all client and internal procedures are adhered to.
Key Responsibilities
Compliance, QHSE & CAFM Administration
Act as a key user and champion of the client CAFM system, ensuring it is accurately maintained and administered in line with system change protocols
Oversee the scheduling and completion of maintenance works in accordance with contract SLAs
Coordinate with internal teams and external subcontractors to ensure works are delivered on time
Manage pre‑ and post‑works documentation, reviewing for accuracy, completeness, and compliance
Support the wider compliance function by identifying and escalating any compliance issues
Maintain and manage the compliance inbox, ensuring all requests and documentation are processed thoroughly from scheduling through to service completion and billing
Liaise closely with the Engineering team to ensure maintenance schedules remain relevant and asset database updates are accurately reflected
Subcontractor Management
Ensure subcontractor works are scheduled correctly and accurately recorded on the CAFM system
Review all subcontractor paperwork to ensure compliance and correct system management
Support supply chain management processes by providing feedback on supplier performance
Address performance issues directly with subcontractors where required, supporting continuous service delivery
About You
You'll be a confident and proactive individual with a structured approach to work and a strong focus on compliance and accuracy.
Essential Skills & Experience
Proven knowledge and experience of CAFM systems and processes
Strong Microsoft Office skills, particularly Teams, Outlook, and Excel
Excellent verbal and written communication skills
Ability to manage multiple tasks, prioritise effectively, and meet deadlines
