About the Role
A leading London-based hedge fund is seeking an experienced and proactive Executive Assistant to provide high-level administrative support on a maternity cover contract. This role requires an individual who is highly organised, detail-oriented, and comfortable operating in a fast-paced, high-performance environment. The ideal candidate will have prior experience supporting senior executives within financial services, asset management, or a similarly demanding corporate setting.
Key Responsibilities
* Provide comprehensive diary and inbox management for senior stakeholders, ensuring effective prioritisation and seamless scheduling.
* Act as the primary point of contact for internal and external communications, managing relationships with investors, counterparties, and key partners.
* Coordinate domestic and international travel, including flights, accommodation, visas, itineraries, and expense reports.
* Prepare, review, and edit documents, presentations, meeting materials, and reports with exceptional accuracy.
* Manage meeting logistics, including agendas, minutes, follow-ups, and VC arrangements.
* Support team operations by maintaining records, file management, procurement, and other administrative processes.
* Liaise with HR, IT, Operations, and Compliance teams to ensure the smooth running of day-to-day business.
* Assist with event planning, team offsites, and investor-related engagements where required.
* Handle confidential information with complete discretion and professionalism.
Requirements
* Immediate availability or able to start within very short notice.
* Proven experience as an EA, ideally within a hedge fund, investment firm, or financial services environment.
* Exceptional organisational skills with the ability to manage multiple priorities calmly and efficiently.
* Strong communication skills and professional presence; able to liaise with senior stakeholders.
* High proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
* Ability to work independently, anticipate needs, and take initiative.
* Strong attention to detail, with a commitment to accuracy and quality.
