We are seeking a dynamic and experienced Administration Supervisor to join a UK-based administration team on a 12 month fixed term contract, covering maternity leave. Reporting into a senior European administration leader, this role plays a key part in ensuring the smooth day to day running of front of house services across two UK offices, alongside ownership of company fleet and supplier management activities across the UK and Ireland. This is a hands on supervisory role suited to someone who enjoys balancing people leadership, operational oversight and vendor management in a corporate environment.
This role is based in the office every day and likely to be longer than the initial 12 months mentioned.
Key responsibilities include:
1. Supervising UK Reception teams to ensure a professional, efficient front-of-house service across multiple locations
2. Managing UK and Irish company car and car cash allowance schemes
3. Producing fleet-related reports within agreed timeframes
4. Supporting service contract reviews and onboarding new vendors
5. Monitoring vendor performance and ensuring adherence to agreed SLAs
6. Ensuring procurement activities comply with internal policies and procedures
7. Reviewing and approving fleet, corporate mobile, and service-related invoices
8. Maintaining and updating departmental procedures and documentation
9. Providing leadership cover in the absence of the European Administration Manager
10. Supporting wider projects and initiatives at a European level
About you:
11. Proven experience in a supervisory or team leadership role
12. Essential experience managing company car fleets, corporate mobile contracts, and service providers
13. Strong stakeholder management skills with the ability to build positive working relationships
14. Highly organised, able to prioritise effectively and manage multiple workstreams
15. Analytical, detail-focused, and accurate in approach
16. Proactive and self-driven, with the confidence to research and resolve issues independently
17. Experience managing vendors and developing effective supplier relationships
18. Excellent written and verbal communication skills, comfortable operating in a corporate setting
19. Advanced user of Excel and the wider MS Office suite
