Gillespie Macandrew has a new position within the Business Services Team to act as executive assistant primarily to the CEO and also to the Chair (non-executive and part time). The main purpose of this role is to provide a wide range of administrative support to these office holders day to day, as well as organise and minute meetings of the Board and occasional Partners’ meetings.
Duties & Responsibilities:
Some of the duties will include:
* Email and diary management for the CEO and Chair, as well as managing their travel arrangements and related expenses claims
* Point of contact on behalf of the CEO and Chair for members of the Senior Management Team, Board and Partners as required to discuss actions, priorities, expectations and follow up actions as well as future planning whilst developing good working relationships with all stakeholders
* Arrange and attend Board and Partner meetings, take minutes, maintain accurate records, and follow up on actions as required
* Ensure LLP records of meetings and decisions are recorded
* Research and ad hoc assignments and projects for the CEO/Senior Management team
Person specification:
* Strong organisation and prioritisation skills and the ability to work to deadlines and manage a varied workload
* Strong attention to detail and excellent written and verbal communication skills
* Professional interpersonal skills when interacting with both internal and external contacts and ability to use professional discretion
* Ability to build and maintain good working relationships
* Resilient, resourceful, tactful and inspires confidence
* Proactive with the ability to operate without need for close supervision or direction
* IT fluent with strong Microsoft office skills and ability to easily adapt to new office systems
Previous experience supporting senior stakeholders is a benefit so that the individual operates with a high level of confidence without the need for close supervision. Essential attributes will include the ability to problem-solve, a customer service mindset, confident and effective communication and interpersonal skills, strong influencing skills, and a organised, proactive and forward-thinking approach. The successful individual will have the ability to develop and maintain good working relationships with the Senior Management Team, the Partners as well as other internal and external contacts.
