Birmingham International Summer School (BISS) Communications and Events Assistant
Position Overview
The BISS Communications and Events Assistant works closely with the BISS Project Officer, Project Manager, and the Birmingham International Academy (BIA) team to coordinate planning, logistics, and event delivery—particularly the social programme—ensuring high‑quality communications to students and stakeholders.
Key Responsibilities
* Support the planning, coordination, and delivery of the BISS, focusing on the social programme, staff rosters, excursion briefings, and student experience.
* Organise and administer events and activities, including excursions, evening and weekend events, venue bookings, catering, logistics, and on‑site support.
* Develop and deliver effective communications to students and stakeholders via MS Dynamics, Canvas, web pages, email, and social media.
* Produce event‑related communications and promotional materials in line with University branding appropriate for target audiences.
* Collaborate with academic, operational, and professional services teams to ensure smooth project delivery.
* Contribute to event briefings for internal attendees, including University Senior Management.
* Monitor risks and issues, draft risk assessments, and escalate concerns where appropriate.
* Maintain accurate records, event data, feedback, and KPIs to support evaluation and continuous improvement.
* Provide general administrative support: meeting support, travel arrangements, diary coordination, and budget monitoring.
* Respond independently to staff and student enquiries, using judgement to resolve issues or refer matters to senior colleagues when required.
Required Knowledge, Skills, Qualifications & Experience
* Professional experience in communications, events, and/or marketing, including event planning.
* Highly proficient IT skills, including MS Office and the ability to quickly learn new systems.
* Strong planning and organisational skills with the ability to manage multiple tasks and meet deadlines.
* Excellent written and verbal communication skills, with the ability to write for different audiences.
* Strong interpersonal skills, capable of inspiring confidence and providing excellent customer service.
* High level of professionalism, tact, diplomacy, and discretion when handling sensitive information.
* Ability to work independently, use initiative, and apply sound judgement.
* Ability to work effectively within a large, complex organisation and understand relevant policies and procedures.
* Demonstrates an understanding of equality, diversity, and inclusion, and can apply this in the workplace.
Additional Details
* Part‑time role of up to 21 hours per week outside of term time, worked across three days.
* Some flexibility required to cover day trips and evening functions.
* Successful candidates will undergo a DBS check, processed by Worklink following a successful interview.
