Position Details

Location: Head Office, Glasgow
Job Type: Full time, 39.5 hours per week – permanent
Hours: Monday to Friday
Salary: £50,000‑£55,000 per annum plus annual management bonus

Purpose of the Role

The Procurement Manager leads and manages a team of Buyers, interacts with suppliers and colleagues across the Group’s worldwide supply base, and influences suppliers and internal stakeholders to deliver projects within agreed timeframes. The role holder has authority over financial spend, makes department decisions during coverage periods, and ensures the strategy aligns with business needs and internal audit guidelines.


Key Responsibilities

* Development and delivery of procurement strategy
* Management of internal processes to ensure audit compliance
* Team development – creating plans and developing individuals
* Reviewing supplier performance and procurement processes
* Generation and provision of management information and reporting
* Maintaining a positive stock position on all current lines, expediting outstanding orders, monitoring supplier performance against agreed service levels
* Relationship management with suppliers, clients and internal stakeholders
* Contract negotiation and award
* Managing procurement functions for Matthew Algie and Espresso Warehouse
* Development of department policy and procedure
* Implementation and development of new systems
* New product development – working closely with Marketing and Sales departments to assist in food category development
* Managing all non‑stock suppliers, including contract creation
* Cost management – actively seeking ways to reduce product and service costs
* General department administration: checking delivery notes, updating order records, maintaining price database and filing records
* Company utilities: monitoring contracts and annual spend
* Organising, leading, and managing project work from a procurement perspective


Managing the Procurement Function

* Enhance efficiency and effectiveness with innovative procurement approaches
* Ensure professional procurement and contracting practices are followed
* Proactively deliver commercial/procurement needs, managing risk and value areas of spend
* Maximise revenue potential by identifying key drivers behind supply chain changes
* Deliver continuous enhancements across the supply chain, profiting from small percentage savings
* Manage upstream and downstream supply chain efficiencies to increase profit margins
* Exploit market and forecast information, maintaining cost management
* Negotiate best costs
* Observe quality of purchased materials
* Accept and scrutinise vendor bids or proposals
* Plan vendor meetings well in advance to optimise savings using buying strategies
* Select sources based on analysis
* Arrange vendor contracts
* Review supplier performance and procurement processes


Management Information & Reporting

* Generation, maintenance and provision of management information
* Improved service efficiency measurable by KPI set in Service Level Agreements
* Ensure accurate and specification‑compliant reporting
* Identify useful, relevant reports and oversee creation, supervising databases and spreadsheets to ensure quality and integrity of information


Department Policy & Procedure

* Take ownership of governmental and industry reporting on waste, usage, etc.
* Ensure all invoices and credits are properly authorised, processed with minimum delay, or reverted if incorrect
* Issued documentation to customers or vendors must be clear, unambiguous and concise
* All staff must have correct up‑to‑date documentation and procedures in Purchasing, controlled by document control and strictly adhering to quality control procedures
* All complaints logged via the Complaints procedure with corrective/preventative action reported back to customer if required
* Annual review and check on all current procedures pertaining to the Procurement department


Person Specification


Education / Qualifications / Training

* Educated to degree level
* CIPS or equivalent qualification


Experience


Essential

* Experience in a procurement environment in a similar role
* Project management
* Cost reduction
* High‑value tender management
* Negotiation and contract management

* Dealing with a worldwide supplier base
* Fleet management
* Contract creation
* People management and development
