JOB SUMMARY/MAIN PURPOSE
The post holders will provide a full and wide range of administrative and clerical support and typing duties within Learning Disability Department and within the Senior Nurse Management and Consultant Teams.
These Band 3 posts will include responsibility for scrutinising Mental Health Order Detention Forms, assisting with the organisation of Mental Health Review Tribunals and provide a secretarial and administrative service to Nursing and Social Work and Consultant Teams
Main Duties/Responsibilities
1. Word Processing and Audio Typing as required.
2. Open and distribute internal mail and actioning urgent mail.
3. To plan, co-ordinate and service meetings as required.
4. Processing daily sick leave for Nursing or Social Work staff and liaising with Ward Managers and/or Team leads and Senior Social Workers
5. Liaise on a daily basis with internal and external bodies to the Trust including patients and carers.
6. Maintaining relevant filing systems both electronic and manual.
7. Use and maintenance of IT systems including E-Procurement, HRPTS and paris/PAS.
8. To ensure that telephone calls are handled in a courteous / pleasant manner in line with Trust policies and Trust values and messages distributed appropriately.
9. Preparation of statistical information.
10. Maintaining staff personal files.
11. Office duties including photocopying, ordering stock and reporting faults.
12. Collating and distribution of ward rotas, weekly and when required.
ESSSENTIAL CRITERIA:
13. 4 GCSE is at grade C or above to include English Language or equivalent qualification and one year’s administrative/clerical experience
or
b. NVQ Level II in Administration and one year’s administrative/clerical experience
or
c. A minimum of two year’s administrative/clerical experience and GCSE in English Language at grade C or equivalent
14. RSA/OCR Stage 2 Typing/Word Processing ( Parts 1&2) or equivalent qualification, OR have six months word processing experience OR Minute taking experience
15. Experience in the use of Microsoft Office products including Word, Excel, PowerPoint or equivalent
16. Good communication skills
17. Ability to work as part of a team
18. The Flexibility to work in a changing environment.
19. Knowledge of information systems such as paris or PAS or Encompass
