To be responsible for undertaking a wide range of administration duties and providing general support to the multidisciplinary team. Duties include, but are not limited to, scanning and processing documents, filtering medical reports and letters via DOCMAN, reception duties such as greeting and directing patients, managing the appointment system, booking appointments, processing information, and assisting patients as required.
To act as the central point of contact for patient correspondence, reports, and documentation, ensuring the distribution of information, messages, and enquiries for the clinical team. This involves liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

* Scan documents into the relevant software and log them.
* Filter documents appropriately and pass to clinicians for review and action.
* Contact and respond to requests from patients, team members, and external agencies.
* Photocopy documentation as needed.
* Input data into patients' healthcare records.
* Manage queries efficiently.
* Maintain a clean and organized workspace.
* Support clinical staff with general tasks.
* Handle administrative tasks related to patient results and letters.
Secondary Responsibilities
In addition, the receptionist may be asked to:
* Maintain and monitor the appointment system.
* Process appointment requests via phone or e-request.
* Answer calls, transfer, or handle requests appropriately.
* Guide patients to the correct service.
* Participate in audits as directed.
* Process incoming faxes.
* Scan and attach patient-related documents.
* Complete opening and closing procedures per duty rota.
Person Specification
Qualifications
* GCSEs or equivalent, including Mathematics and English (C or above).
* AMSPAR Receptionists Qualification.
* NVQ Level 2 in Health and Social Care.
Experience
* Experience working with the public.
* Experience in a healthcare setting.
