Job Responsibilities
* Receive and welcome patients to the Department and direct them to the appropriate waiting area after the patient has booked in via the electronic system.
* Be polite and courteous when dealing with patients at all times.
* Compile and sort clinic attendance sheets.
* Ensure the patient's details are up to date on both the computer system and the patient's notes.
* Make follow‑up appointments according to consultant requirements and clinic booking rules.
* Record patient outcome onto the IPM system.
* Ensure all case notes are available for the clinic.
* Carry all patients' notes from reception to the clinical area during all clinics.
* Ensure effective communication with all members of the Pain Management team.
* Ensure that all administration processes are dealt with in accordance with Trust and MOD waiting‑list policies.
* Cover for other colleagues during annual leave, sickness or peak workloads.
* Ensure appropriate clinic follow‑up is actioned as appropriate, e.g. outpatient appointments, investigations, adding patients to the waiting list.
* Ensure a clear understanding is obtained surrounding data quality, data protection, case‑note handling and IPM.
* Trace notes back to the central library and check all outcomes after the clinic letter has been typed; transfer note to boxes for transportation to the Records library.
* Book and prepare clinics and locate notes required for clinics as/when required.
* Transport notes around the Department using trolley(s) as required.
* Type up and send clinic letters as required.
* Assist with gathering data, e.g. chest‑xray results, blood results for patients attending clinics.
* Receive and coordinate patient telephone queries with the appropriate member of nursing or medical staff.
Qualifications
* Good standard of education including GCSE Maths & English or equivalent qualification or equivalent demonstrable experience.
Knowledge and Experience
* Ability to use computerised systems; demonstrable experience using Microsoft Office packages including Word, Excel and Outlook.
Aptitude and Abilities
* Good telephone manner.
* Ability to work in a busy and challenging environment.
