The Opportunity:

As aTeam Assistant, you will provide remote executive level administrative support to 5 Senior Professionals/Directors. Your key responsibilities will be: complex meeting schedule management, communication with external and internal clients, travel coordination, maintaining marketing CRM database and expense processing.

Key Responsibilities:

1. Calendaring
2. Maintain diaries for Directors, scheduling internal and external meetings, communicating with clients and infrastructure staff as appropriate
3. Proactively spot opportunities to add marginal internal meetings; interviews, staff meetings, etc
4. Travel Arrangement
5. Coordinate travel and accommodation, book cars, rail tickets, etc
6. Timesheet and Expense Reporting
7. Prepare monthly timesheets for each assigned Director
8. Prepare all expense reports
9. CRM and Client Support
10. Maintain/update client contact database to ensure accuracy of information for firm use
11. Assist the Marketing Department with the co-ordination of customized mailings
12. Prepare letters, proposals and other documents using Oliver Wyman formatting styles
13. Team Support (10%)
14. Provide coverage for assistants when out of the office to ensure seamless support to Directors/Partners
15. Provide short-term coverage for Partners who may be in the midst of an EA assignment transition or who are new to the Firm
16. Provide training and support to new assistants
17. Participate in team meetings and projects with an eye to improving processes and the overall performance of the EA team
18. Assist in the local office with minor office services tasks, maintaining a good work environment, as required.

Experience required:

19. At least 1 year experience working in an administrative or customer service position. Experience in financial services, management consultancy and/or a professional services environment a plus

20. Fluent in English. Other European languages a plus

29. Ability to undertake projects and produce quality and timely results
30. Self-starter, strong initiative, confidence and ability to work with little guidance
31. Collaborative team player
32. Positive attitude, sense of fun: is collegial and friendly
33. Ability to juggle several tasks at once, to prioritize and manage own time
34. Methodical, organized and excellent attention to detail
35. Flexible attitude; embraces change, hard-working, cost conscious and results driven
36. Finally, we are looking for someone who will be committed to the company and add to the life and culture of Oliver Wyman

Technical Skills:

37. Excellent Word, PowerPoint and Excel skills
38. Expert knowledge of Outlook
39. Knowledge of CRM systems (Microsoft Dynamics), a plus but not necessary
40. Touch typing speed of 50-60 wpm and/or a formal typing certification
