Job Overview

The post holder will provide comprehensive secretarial/clerical support to the PICSS Team. The post holder will administrate clinical staff education, study days and training programmes, facilitate audit information gathering, input databases and complete condition‑specific training attendance reports for the division. The post holder will collaborate closely with the manager to maintain the ESR system by extracting data, uploading information and generating reports. The post holder will provide efficient administration support for Specialist Commissioning Services as required. Welsh language ability is desirable; English and/or Welsh speakers are welcome.

Main duties of the job

* Work within own knowledge, expertise and BCUHB policies.
* Plan and organise own workload.
* Maintain documentation and prepare training programmes for staff across BCUHB.
* Assist PICSS staff to provide accurate information and maintain databases on training programmes.
* Maintain service‑specific reports to enhance delivery.
* Place orders on Oracle ordering system ensuring timely delivery and follow‑up on delays.
* Facilitate data collection for audit, e.g., attendance on training.
* Provide ESR support for team manager.
* Communicate written and oral information to multidisciplinary team members.
* Receive and handle sensitive information via telephone, fax and email.
* Report regularly to team leads about workload management and problems encountered.
* Communicate with and keep records of all communication with public health professionals.
* Exercise judgement when dealing with staff on patient enquiries.
* Act as a resource of information within own limits, referring queries to others as needed.
* Maintain patient notes and records filing for team use.

Person specification

Qualifications And Knowledge

* Up to GCSE standard for Maths and English or equivalent experience.
* Required to hold NVQ Level 3 or equivalent experience.
* IT skills: competent use of Microsoft Office (Outlook, Excel, Word).

Experience

* Experience of office and administration procedures.

Desirable criteria

* Experience in Oracle, ESR and E‑Rostering.

Skills And Attributes

Essential criteria

* Ability to communicate clearly and precisely both verbally and in writing.

Desirable criteria

* Ability to speak Welsh.
* Experience of understanding research/audit.
