Events Supervisor - Woking VISION OF THE ROLE: To support the Events Manager in delivering and developing all aspects of the event and functions operations at Hoebridge To supervise a team of events and functions professionals, motivating and leading them to deliver exceptional service that meets and exceeds our customer's needs. To safeguard the long-term success of Burhill Golf Ltd for its stakeholders, the Events Supervisor will display determination and focus in guiding all the elements of the events and functions area to the highest level ensuring that Hoebridge Golf Centre is recognised as the premier family-centric golf and leisure destination of the surrounding area. MEASUREMENT OF SUCCESS: The Events Supervisor will be measured against key criteria: Operating profit (derived from F&B, events, functions) Annual measurement of staff engagement Customer loyalty measured by Net Promoter Score (NPS) Pass audits Food and Beverage Manager reviews, Events Manager Reviews, General Manager reviews, operational feedback, and personal objectives KEY RESPONSIBILITIES: Strategic * Works collaboratively with the Sales team and the Events Manager to ensure that all aspects of the events and functions division are aligned with the overall strategy for the club. * Influence and positively manage the development of organisational culture putting the team and their continued development / challenge at the forefront. * Keep abreast of changes in the events and functions market in which Hoebridge operates and use this knowledge to identify opportunities. Operations * Oversees all events and functions to ensure the team deliver consistent, exceptional service, meeting and exceeding customer expectations. * Review all bookings for catered activities e.g functions, meetings, golf societies, weddings and ensure all appropriate preparations are made in advance. * Oversee the daily clubhouse operation with the restaurant and events areas. * Maintain positive and effective relationships with members and guests through an active presence in the restaurant and events areas, ensuring all customers and members receive a warm welcome and consistent high standard of service. * Conduct a daily club tour of the property to ensure a clean and tidy operation. * Process orders through the ESP/check order system and serve as appropriate. Check orders to ensure complete and correct order meets presentation and quality standards. Serves courses at appropriate time intervals. May package orders for take-out. Serve alcoholic and non-alcoholic drinks as requested adhering to Weights and Measures compliance, utilising appropriate glass for order. Maintains and follows sanitation and cleaning procedures e.g., glassware, equipment, storage areas, refrigerators; keeps bar and restaurant service area clean in a timely manner. Completes opening and closing procedures as per shift, including responsibility for cashing up of the till points and locking/alarming the building. Follows all company policies and procedures, e.g., attendance, timekeeping, dress code, name badge, appearance. * Achieve a minimum of a pass in the Food and Beverage Audit and Food Safety audit. * Works collaboratively with the Head Chef to ensure that all aspects of the events and functions food offering is to the highest standard. * Supports the sales team and Events Manager to identify new market opportunities and maximizes sales potential through aggressive marketing of the properties various services and events, including flyers, newspapers, promotional events etc. * Solicit and handle customer inquiries, comments, concerns to provide answers or determine solutions. * Oversee the care and maintenance of all assets, inventory, and resources of the Food & Beverage division. * Monitor Health and Safety procedures, ensuring they are clearly communicated, effectively monitored, and regularly reviewed. * Assist in a duty manager capacity as requested by the General Manager. People * People Management - ensure all team members are performing to their optimum ability, recognising and rewarding high and exceptional performance and performance managing under or poor performers. * Regular, relevant and timely communication across the teams to ensure full understanding and transparency of company objectives and performance. * Take an active role in the recruitment and consistent induction of all staff members, taking overall responsibility for their welfare and their development. * Assist the Event Manager to ensure recruitment is completed ethically and legally. Job descriptions, expectations and goals are described at length. Comprehensive note taking at interview stage to reflect the candidate response. Compliance with Right to Live & Work laws and references sought and confirmed. * Ensure personal and team compliance within the BGL Academy is 100% at all times. * Maintain a strong network with fellow colleagues to support robust collaboration. Financial * Assist the Events Manager in controlling events and functions labour costs, in line with set budgets. * Adhere and monitor compliance of purchasing policies and procedures. * Ensure all BGL procedures and policies are adhered to. Marketing * Maximise sales potential through the marketing of functions, events and promotions. Customer Experience Ensure that during functions and events, all team members consistently deliver outstanding service levels to achieve maximum customer satisfaction.
