The Construction Function Office Manager reports to the Construction & Commissioning (C&C) Region Leader. This role involves providing daily administrative management and support to the C&C Region Leader and the overall Construction Function. The manager oversees the administrative tasks in both the central office and the construction field offices. By ensuring efficient administrative operations, this role directly contributes to the successful delivery of the construction projects. Job Description Main tasks are the following: Line Management, supervision and monitoring of Construction Administrators (central office and remote construction field administrators). Management of contingent labour purchase order (PO) process and invoice validation to ensure labour services and relationships are maintained. Management of the onboarding, induction and separation process of permanent and contingent construction professionals. Time-sheet management. PPE Management. Vehicle Management (employees and field hire). Maintaining of Construction professionals Training and Competence records and liaising with GEV’s EHS & Regulatory Training Co-ordinator. Organisation and coordination of Construction internal and external Stand-down and Leadership events. Assisting in the creation of supplier framework agreements, and subsequent management of Construction site infrastructure suppliers i.e. welfare providers, IT support, waste management, site supplies etc. Act as the construction point of contact for Construction professionals, suppliers, visitors and clients. Organising Construction office filing and record-keeping systems, implementing and maintaining procedures/office administrative systems. Assist Construction Management Team in travel bookings and expense submission. Management of the Construction field purchases process: Management of site service POs, to ensure these services are not at jeopardy. Resolve and support Construction supplier invoices queries. Reconciliation of P Card purchases. Set up of local site infrastructure providers. Network & Links Internal: Construction Senior Management Team and overall Construction department, Project Management Function, Sourcing, Procurement and Finance Functions, Engineering Function, HR Function. External: clients, construction suppliers and subcontractors. Major Responsibilities: Health and Safety: Demonstrate EHS leadership, ensure the application of GEV’s EHS Policy and procedures in all daily activities. Reward and encourage proactive steps toward all matters related to EHS in the workplace. Participates in EHS Gemba walks when visiting construction sites. Sets an example by demonstrating the proper acts and actively observing work conditions and behaviours, giving immediate & constructive feedback, and celebrating achievements and/or safe behaviours. Actively and routinely promotes the identification of hazards and near misses to their teams. Actively participates in defining corrective actions when work is unsafe or when an uncontrolled risk is observed. Quality: Ensure Compliance with Region and Global Construction quality Processes. Initiates and participates in improvement actions on Construction processes, tools, and documents. Identify areas of improvement in Construction operating and administrative procedures. Key performance indicator management and reporting: Time-sheet submissions. Audits of Construction Field Offices. Skills / Qualifications: Skilled and experienced with SAP, Fiori, EASY and other business software tools. Reliability and discretion: you will often learn of confidential matters. Adaptability. However, additional language proficiency in European languages will be an added advantage. Experience: Previous experience in roles associated in the management of a Construction office. May be required to travel to various project sites across the region. IT proficiency including collaborative platforms & Microsoft Office and other software Tools.
