The role provides administrative and file management support across the Healthcare team. Work will come either directly from the fee earner or through the work allocated by the Practice Assistants. The role is accountable for establishing and maintaining an ongoing service-based relationship with the team they support, recognising and translating the needs and expectations into a responsive service.
Key Responsibilities
* Client Relationship Management – Liaise with Practice Assistants to provide support to Client & Marketing for scheduling tender meetings, directory interviews, client training, etc.; enter, maintain and update Interaction data (prospects, clients, contacts, activities, and business development information); ensure current knowledge of client-specific protocols and processes and integrate these into current practices.
* Administrative – File management (update and maintain all files, correct naming conventions and folder structures, electronic and paper); file opening and closing – matters set up on relevant document/case management system; undertake file closing/archiving procedures to ensure compliance.
* Event support – Assist Practice Assistants in organising internal and external events, seminars and conferences; arrange registers and delegates, travel, materials, and giveaways; manage promotional goods and stock levels; arrange room and taxi bookings, hand deliveries, courier requests; support high-volume printing/copying as needed.
* Communication – Liaise with team members on workload and deadlines; answer internal calls; take direction from Hub Leader, Practice Assistants and Legal Support Assistants; update service users on progress where appropriate.
* Financial – Assist with billing and expenses as required.
* Processing – Manage priorities and workload to meet deadlines; upload information to client data rooms as instructed; production of court bundles (paper and electronic) with correct master bundle preparation and pre-booked delivery methods; check client and internal data accuracy; ensure compliance with firm policies; manage post/email handling and file related correspondence.
* Customer Service – Attend team meetings; support fee earners, Hub Leaders and Legal Support Managers on work requirements.

Technical Skills
* Relevant office-based administration experience; aptitude for administration management and processes; experience with document management/case management systems.
* Intermediate knowledge of Microsoft Office.
