Senior PA/EA (10-month FTC)
About the role
We are looking for a Senior Personal Assistant/Executive Assistant to provide administrative support to the Managing Director within the EMEA Retail Capital Markets business, to ensure that their needs and the clients' needs are always met. Additionally, you will be working as the team PA for seven others ranging from Executive Director to Assistant surveyor.
What you'll do:
* Provide high quality, proactive administrative support to all Directors and wider team members, acting as a key point of contact.
* Manage complex diaries, scheduling internal and external meetings, recurring team meetings, and client appointments.
* Arrange travel (flights, trains, hotels) and prepare itineraries regularly.
* Liaise confidently with clients, senior stakeholders, and internal teams.
* Ensure the smooth day to day running of the business, anticipating needs and resolving issues proactively.
* Provide cover for other assistants and support ad hoc requests across the wider business.
Financial & Compliance Administration
* Use PeopleSoft to raise invoices, register new projects, and process expense claims.
What you'll need:
* Excellent organisational skills and attention to detail
* Good interpersonal skills with a professional attitude and confident communicator
* Good IT skills (Word, Excel, MS Outlook and Power Point) with an ability to prepare Microsoft Word reports and PowerPoint presentations to a high standard
* Ability to prioritise and act on own initiative
* Able to work to deadlines and have a flexible approach
* Ability to work autonomously and proactively
* Working in a fast-paced environment
* Good writing skills
* Can be trusted to be discrete with confidential information relating to both projects and the team members
