To be responsible for undertaking a wide range of secretarial and administrative duties and the provision ofadministrative support to the multidisciplinary team.


Main duties of the job

Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timelymanner, liaising with multidisciplinary team members and external agencies such as secondary care andcommunity service providers in accordance with current policies, including the use of the electronic referralservice (ERS).

Previousprimary care experience is an advantage and Knowledge of using EMIS WEB isdesirable.

Job responsibilities

It is essential that the post holder is able to demonstrate an ability to work autonomously as well as partof a team.

An ability to demonstrate initiative, empathy and problem-solving skills, along with strongcommunication and negotiation skills at all levels.

An ability to engage in a professional manner applicable to this role.

To provide support and integration with other colleagues and teams within the organisation to workcollaboratively with different staff groups i.e. Physicians Associates / Clinical Pharmacist / Receptionteam and Management Leads.

Main Duties

The following are the core responsibilities of the Medical Secretary. There may be, on occasion, a requirementto carry out other tasks; this will be dependent upon factors such as workload and staffing levels

a. Typing letters, reports and associated documentation as requiredb. Liaising with external agencies such as hospitals and community services, ensuring referrals areprocessed efficiently

c. Managing all enquiries in an effective manner

d. Maintaining an accurate referrals database

e. Actioning all incoming email

f. Processing calling letters as requested

g. Scanning patient related documentation and attaching scanned documents to patients healthcarerecords

h. Inputting data into the patients healthcare records as necessary

i. Processing referrals using the electronic referral system (ERS)

j. Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms

k. Coding data on the clinical IT system

l. Answering incoming phone calls, transferring calls or dealing with the callers request appropriately

m. Managing all administrative queries as necessary

n. Carrying out system searches as requested

o. Maintaining a clean, tidy, effective working area at all times

p. Supporting all clinical staff with general administrative tasks as requestedIn addition to the primary responsibilities, the Medical Secretary may be requested to:

q. Partake in audit as directed by the audit lead

r. Produce meeting agendas and record the minutes of meetings

s. Support reception staff, providing cover during staff absencest. Complete opening and closing procedures in accordance with the duty rota


Person Specification


Experience

* Practical experience of working as part of clinical admin
* team
* Experience of using own initiative and working
* autonomously
* Experience of working within a General Practice
* Practical experience of computerised recording systems
* Docman Management (Coding, Filing, Work flowing) and
* EDTs
* Prescription Processing to include EPS


Qualifications

* Educated to GCSE level or equivalent in Mathematics and
* Medical Assistant Training


Skills

* Excellent communication skills (Written and Oral)
* IT skills aligned to clinical processes (eRefferals)
* EMIS clinical system
* Time Management and the ability to work to deadlines
* Interpersonal and communication skills


Knowledge

* A detailed understanding of a General Practice environment
