We're currently recruiting a dedicated Facilities Coordinator to help ensure the smooth running of operations at 14Forty on a full-time basis, contracted to 40 hours per week.

Specific Duties:
* Facilitate the end-to-end process of all maintenance queries, from ticket receipt to job completion and closure on the company’s CAFM platform, in line with service level agreements.
* Manage PPM (Planned Preventative Maintenance) tasks and scheduling, including site bookings, completion, and H&S documentation.
* Maintain administration systems to record maintenance operations, asset management, additional works, and statutory/non-statutory tasks.
* Identify and assign contractors and external vendors to maintenance jobs, monitoring their performance and service quality.
* Update maintenance workflows to reflect progress and completion accurately.
* Process invoices efficiently according to workflows.
* Act as a liaison between the Technical Services team, wider operational team, and contractors.
* Build strong relationships with engineers and external maintenance contractors.
* Drive customer service excellence through effective communication with customers and clients.
* Ensure all health, safety, and compliance documentation is updated post-works.
* Contribute to company projects and suggest improvements to workflows.
The Successful Candidate:
* Minimum of 1 year’s experience in a similar environment - Hard/Technical Services or Facilities Helpdesk.
* IT literate (MS Office); experience with FM software is desirable.
* Excellent written and spoken English.
* Attentive to detail.
* Positive attitude, team player, and task-oriented.
* Confident, engaging, and a clear communicator.
* Ability to work autonomously and take initiative.
* Ability to manage conflicting priorities.
* Commitment to quality and safety.
