The opportunity
Are you an organised, proactive professional who loves variety in your day? We’re looking for a Business Administration Coordinator to keep our directors, project teams, and business running at their best. From managing executive diaries and board papers to supporting compliance, travel, and team events — this is your chance to make a real impact in a role where no two days are the same.
Provide executive administration support by managing the GM’s diary, coordinating monthly meetings, and assisting with board paper preparation. Coordinate organisational logistics for team events and travel bookings. Maintain and optimise business administration systems to ensure efficiency and identify opportunities for process improvement. General administration including managing mileage allocations and managing stationery and office supply orders. Ensure compliance and operational readiness through management of Site Safe and H&S certifications, and coordinating vehicle fleet servicing, WOFs, and renewals. Manage communication channels including the central administration inbox and overflow reception calls. Deliver high-quality business documents through formatting, layout, and InDesign support, ensuring accuracy and professionalism in all outputs. HR administration support by assisting with recruitment vetting processes, inductions and associated documentation.
About you
You will have at least 3+ years\' experience in a similar office-based business admin and/or PA role. Strong organisational and time management skills with the ability to juggle competing priorities. High attention to detail and professionalism, able to maintain strict confidentiality at all times. Confident communicator with proven administration or coordination experience. Proficiency to an intermediate level with Microsoft Office Suite (InDesign experience is a bonus). It is essential you hold either NZ permanent resident or NZ citizenship status.
