Job Title: Institute Administrator\n Location: Manchester (M13)\n Sector: Admin & Secretarial\n Job Type: Temporary (3 months+)\n Working Hours: Full-time, Monday to Friday (8am–4pm or 9am–5pm)\n Pay Rate: £15.19 per hour\n \nAbout the Role\nWe are seeking an experienced and organised Institute Administrator to join a busy academic institute based in Manchester. This is a varied role that plays a key part in supporting the day-to-day operations and wider strategic goals of the Institute. You’ll work closely with the Institute Director, Institute Officer, and Institute Manager, providing high-level administrative and operational support.\nThis is an ideal role for someone who enjoys working in a dynamic environment, has strong communication and coordination skills, and is confident managing a range of admin tasks from diary management to organising events and handling finance systems.\n \nKey Responsibilities\n \nOperational Support:\n\nAct as a point of contact for internal and external queries\nProvide general admin support across the Institute\nManage shared inboxes and respond to queries appropriately\nAssist in the planning and delivery of events and meetings\nBook travel and accommodation arrangements as needed\nMaintain accurate records, data, and distribution lists\nSupport diary management for senior staff \nPeople & Organisational Development:\n\nSupport recruitment processes via the JobTrain system\nCoordinate induction and welcome arrangements for new staff\nMaintain absence records and liaise with relevant departmentsEstates & Facilities:\n\nAct as liaison for building-related queries and office moves\nManage building access and update occupancy records\nSupport with health and safety requirements where necessary \nFinance Administration:\n\nProcess purchase orders and track invoices using internal systems\nCoordinate event-related spending and assist with procurement\nHandle staff expense claims and process payments \nGeneral Duties:\n\nMinute-taking and meeting support\nPromote and adhere to University policies and procedures\nProvide occasional cover for the Institute PA as needed \nEssential Skills and Experience:\n\nProven experience in an administrative support role\nConfident managing multiple priorities in a busy environment\nExperience coordinating events and managing finance systems\nExcellent organisational, communication, and problem-solving skills\nStrong attention to detail and ability to work independently\nGood IT skills with willingness to learn new systems\nExperience supporting senior-level staff and diary managementDesirable:\n\nFamiliarity with systems such as Oracle, iProc, Key Travel, JobTrain, or Eventbrite\nExperience with university or public sector administrationWhat We Offer\n\nA professional and supportive working environment\nOpportunity to gain valuable experience within a leading university setting\nFlexible working hours within the core schedule\nCompetitive hourly rate \nTo Apply:\n\n If you meet the requirements and are available for an immediate start, please send your CV to (url removed)
