Office Manager & HR AdministratorFarnham, UK

The Role

We are seeking an experienced and highly competent Office Manager & HR Administrator to join our People and Talent team.

This is a varied role that would suit someone with experience in office management as well as human resources administration.The successful candidate will manage the overall office environment as set out in the key responsibilities below.They will also assist the People & Talent Manager in ensuring the operational continuity of the business by maintaining HR best practice.

Reporting, Location & Travel

The role is full time and office-based at our offices in Farnham, reporting to the People & Talent Manager.

Main Duties & Responsibilities

Responsibilities include, but are not limited to the following:

Office administration:

* Oversee and support all administrative duties in the office and ensure the office operates smoothly.
* Maintain office supplies inventory and place orders when required.
* Perform receptionist duties – greet visitors and direct messages from the main switchboard provider.
* Provide the necessary administrative support to the managers and teams within the office, including arrangements for client meetings and lunches.
* Assist with arrangement and co-ordination of company events, training and catering as required

·Organise travel arrangements for colleagues and visitors as required

Facilities and logistics administration:

·Liaise with the cleaning company to ensure cleaning standards are upheld and supplies are well stocked, purchasing more supplies as necessary.

* Ensure that both buildings at the Farnham site are fully operational with all utilities functioning properly
* Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment
* Work with Health & Safety team where applicable to ensure building meets all Health & Safety requirements
* Support logistics and shipping
1. Receipting incoming goods
2. Booking shipping

HR Administration:

* Pro-actively assist the People & Talent Manager in administering all aspects of the HR lifecycle.
* Maintenance of employee records, sickness, holidays, absence – through appropriate HR system (Hi Bob).
* Recruitment & Leaver activity: including agency liaison, interviews and arranging inductions/onboarding for new starters, arranging exit interviews and processes.
* Assist with new talent process & onboarding – employees, contractors, interns, work experience, graduates.
* Assist in delivering ad hoc and regular reports as required.
* Liaise closely with Finance, IT & external benefits broker to deliver people-related outcomes & requirements.

Relevant Knowledge & Experience

Candidates should assess their suitability against the following essential and/or desirable relevant knowledge and experience:

Essential:

·GCSE Maths & English at A*-C Grade or Equivalent

·Strong track record within an Office/Site management role, including some facilities co-ordination

·Proven organisational and communication skills

·Competency in Microsoft Office, including Outlook, Word, Excel and PowerPoint

·Strong experience in HR Administration & HR Data Systems

Relevant Knowledge & Experience (Cont/…)

Desirable:

·Educated to minimum A-Level standard

·Previous front of house or reception experience

·Based locally with full clean driving licence and own car or ability to travel to the office as this is a full-time office-based role.
