Executive Assistant
Location: City of London
Salary: £55,000 – £60,000 plus travel expenses
Hours: Monday to Friday, 08:00 – 17:30
Contract: Permanent, full-time
Reports to: CEO
Working Pattern: Office-based

We’re seeking a highly organised and proactive Executive Assistant to provide confidential, high-level support to the CEO, Board, and Executive Directors. This position is office-based and requires excellent attention to detail, strong communication skills, and the ability to anticipate needs, ensuring the day runs smoothly for senior leadership.
Responsibilities
* Provide comprehensive EA and secretarial support to the Board Directors, serving as the first point of contact.
* Manage correspondence for Directors, keeping accurate records and making sure documents are handled promptly.
* Liaise with internal teams on legal, contractual, and administrative matters.
* Coordinate document signatures, both electronically and in person.
* Organise and prepare Board reports, gathering input and ensuring documents are ready for review.
* Manage and coordinate Directors’ diaries, meetings, and key dates.
* Schedule regular meetings such as project reviews and operational updates.
* Assist with planning and organising strategic meetings and away days.
* Liaise with recruitment partners for senior appointments, managing communications and processes.
* Ensure all documentation meets company standards.
* Draft and proofread correspondence and reports using Microsoft Office.
* Support special projects with research, data analysis, and presentations.
* Take minutes and follow up on action points from meetings.
* Track tasks, escalating or delegating as necessary.
* Maintain up-to-date contact lists.
* Process invoices and expenses to ensure timely payment.
* Arrange travel and accommodation as needed.
* Support client and internal events with the business development team.
* Handle information with sensitivity and professionalism.
* Provide cover for admin staff as needed during absences or quieter periods.
* Anticipate executive needs and proactively address challenges.
* Build and maintain strong relationships within the company and with external contacts.
Skills and Experience
* Experienced Executive Assistant
* Confident using Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Strong written and verbal communication skills.
* Excellent organisational skills, able to prioritise and meet deadlines.
* Discretion with confidential material.
* Able to work independently and as part of a team.
* Professional presentation when interacting with stakeholders and clients.
* Self-motivated and adaptable, comfortable handling changing priorities.
