We are looking to recruit a part time Front of House Specialist / Host to work 25 hours per week at the Volvo Training Centre in Daventry.
Main Job Function
* To ensure that the Training & Development Centre provides a warm, friendly, and professional environment to visiting customers
* To ensure that on arrival, all visitors receive a pleasant and courteous welcome and to proficiently use the Envoy Visitor Management System
* To ensure that effective contact is maintained with site visitors during their stay
* To ensure that visitor's needs are dealt with promptly and completely
* To accurately record and pass all messages and information received
* To help ensure all telephone connections are made as quickly as possible to the appropriate personnel
* To enhance the reputation of the Training & Development Centre at every opportunity when interacting with others
* To administer and support our Learning Management System and Learning Helpdesk
* To work alongside the Workplace Experience and Competence teams to communicate requirements and ensure site staff are looked after
Key Tasks
* Welcome all site visitors warmly and ensure their comfort throughout their stay.
* Attend to the needs of visitors and training delegates, providing refreshments and engaging in courteous dialogue.
* Introduce first-time visitors and staff to the site's facilities and processes.
* Maintain the tidiness and functionality of all customer-facing areas. Working with the Workplace Experience Team to ensure the entire site is well presented.
* Support internal and external trainers and meeting hosts with required information.
* Update support systems, booking tools, and switchboard systems as needed.
* Interact with visitors during breaks and encourage feedback for continual improvement.
* Collaborate with fellow Hosts to plan for subsequent shifts and days.
* Answer incoming phone calls promptly and manage course attendance and Learning Management System updates.
* Handle delegate no-shows and late arrivals by contacting Dealer Managers.
* Liaise daily with the Restaurant Manager to confirm visitor numbers.
* Maintain customer information screens, resource booking tools and room booking panels.
* Carry out administrative duties as directed by the Learning & Data Support Supervisor.
* Acknowledge and record all visitor enquiries, queries, and complaints, passing them to the appropriate team member swiftly.
* Report any losses, damages, or incidents in public areas to management.
* Uphold high standards of behaviour, appearance, and professionalism at all times.
* Alert the manager to any unusual or concerning situations.
* Serve as the primary contact for non-training event coordination, collaborating with stakeholders to organise high-quality events using centre resources and services.
* Serve as part of the emergency repose team during working hour emergencies or evacuations including first aid events or evacuations.
Successful candidates will have previous front of house / reception experience and must be able to demonstrate a strong passion for exceeding the customer's expectations.
We also offer the opportunity to complete an Apprenticeship Programme as part of the job role.

* Above all, you are committed to providing an outstanding customer experience, going above and beyond to make every visitor feel valued and cared for.
* Ideally be first aid trained or willing to become first aid trained.
Salary
Circa £ per annum depending on experience, plus employee benefits package which include: Eligible for the Volvo Preferred rates car scheme, pension scheme (contributions would be matched at 4.5%). Working Hours
12.00pm-5.00pm Monday to Friday, and ability to cover when the other shift colleague who covers early morning 8.00am-1.00pm is off as well as the afternoon shift. Plus, any ad hoc cover where required.
