Job Purpose
To manage administrative processes at Gatwick Airport effectively by overseeing, coordinating, and streamlining all administrative tasks to meet operational requirements and comply with company and local regulations. Ensure the administrative staff are motivated, guided, and coached to provide proactive support to the station.
* Ensure efficient management of onboarding requirements, including uniform requisitions, access to company systems, station ID, and vehicle passes, liaising closely with the airport pass office.
* Control and manage inventory of all equipment and assets, conduct regular stock verification, and optimize utilization and maintenance within budget. Coordinate asset disposal with P&L, Finance, and suppliers.
* Assist in the general office operations, maintain record and filing systems, and explore IT solutions, being highly proficient in Office 365 applications.
* Verify station invoices, submit for approval, and ensure an auditable process for compliance.
* Follow up on penalties and credits with GHA and service providers.
* Manage uniform processes, including ordering, distribution, and destruction, liaising with staff and uniform stores, and maintaining an accurate tracker.
* Ensure timely completion of month-end reports, including Time & Attendance, and prepare payroll handover to HR.
* Manage station mailboxes, handle baggage settlement claims, and respond to CASA requests.
* Attend supplier meetings, produce minutes, and maintain station manuals and training folders.
* Cover operational tasks as needed, including escorting VIPs, assisting passengers during disruptions, and providing support at check-in, arrivals, and lounges.
Qualifications & Experience
* Secondary education with GCSEs in Maths and English.
* Experience in administration and operations, preferably in an airport environment.
* Strong organizational skills and high computer literacy, especially in Microsoft Word, Email, and Excel.
* Passenger Handling courses are preferred.
* Effective communication skills in English, both spoken and written.
