About The Role To provide a range of administration support to the project team. To be responsible for the effective management of office facilities and supporting administrative resources What you'll be doing Develop and administer office management processes and systems to ensure the efficient and effective running of the office Monitor and manage desk allocation Manage the booking system for EV chargers Manage the office cleaning team Manage the booking of hotel accommodation and travel Check and process staff Monthly Overtime Claim Forms Manage the administration of caravan sites Work on Reception and welcome visitors Organise events on site as required Ensure the office is fully compliant with all security protocols and Health and Safety requirements Order office supplies and ensure a sufficient stock level is maintained and replenished as required Check that office equipment is in full working order and take immediate action to ensure any repairs are reported to the relevant internal/external provider Ensure statutory and communication notices are displayed and kept up to date Other ad hoc duties Live the Balfour Beatty Values Ensure a relentless focus on Zero Harm Support the delivery of Highways Sustainability activities Who we're looking for The Following Qualities/experience Are Essential Experience in managing a busy office environment and managing a team Experience in prioritising own/others’ work and of allocating and checking work Highly organised and able to work on own initiative Strong communicator able to communicate confidently with all level of colleagues within the business Excellent team working skills and able to build relationships at all levels Ability to work well under pressure and to tight timescales Very strong customer focus Good IT Skills including Microsoft Office (Excel, Word and PowerPoint) Why work for us Day in, day out, our teams deliver some of the UK’s most ambitious, exciting and meaningful projects; developing, building and maintaining the vital infrastructure that supports national economies and strengthens communities.
