Main Responsibilities:
Catholic life and Mission
Draw on the person, life, and teachings of Jesus Christ to create a shared vision and strategic plan, which inspires and motivates pupils, staff, and all other members of the community. The vision should explore Gospel virtues and values, moral purpose and be inclusive of stakeholders’ values and beliefs. The strategic planning process is critical to sustaining school improvement and ensuring that the school moves forward for the benefit of its pupils.
The vision must reflect its distinctive Catholic character, in accordance with the provisions of the Diocesan Trust Deed, based on what it means to be fully human as revealed in the person, life and teachings of Jesus Christ.
Key Responsibilities
Reception
Responsibility for ensuring the main reception area is presentable, welcoming, and tidy
Receiving deliveries, dealing with associated administration (security badges, signing delivery notes)
Dealing with routine enquiries, providing general information about the school and its activities – in person, by phone and email.
Be a first point of contact for pupils requiring help/support and referring them to other appropriate staff in school
Picking up answerphone messages and relaying to the appropriate member of staff
Answering incoming calls and transferring calls to the relevant member of staff
Taking any necessary messages and passing on to the person concerned using the school system
Ensuring any urgent messages are relayed to pupils and staff efficiently, by liaising with the office staff
Visitors
Welcoming visitors to the school in a professional and friendly manner
Control access to the school by following safeguarding procedures when registering visitors
Managing the signing in of visitors and the administration of visitor badges
Informing staff of the arrival of visitors
Showing visitors round the school
Office duties
Handle incoming mail, ensuring appropriate distribution
Handle outgoing mail, franking and posting, maintaining records of postage
Ensure supply of and maintain stationery and office supplies
Maintain records / files / data bases, inputting and retrieving information.
Undertake word processing, generating standard letters
Take minutes of meetings of staff briefing
Administration
Regularly reviewing noticeboards in the staff areas, including pastoral information boards.
Support the Pastoral team with administration
To be a Fire Officer
To assist and support the School Office Manager with daily tasks
Support the Office Manager keeping the website up to date with school letters
Produce staff badges
Assist with the production of staff and pupil planners
Support with preparing staff inductions
Manage children’s lunchtime orders and recording – ParentPay registers; assist with Parentpay queries relating to pupil lunches
Support the office manager with accurate daily attendance registers
Support the office manager with the administration of the training portals for staff training purposes
Managing the school’s recruitment process, working in collaboration with Central HR team to ensure multi academy policy is being followed.
Manage the onboarding process for new staff and support the Office Manager when required with pupil onboarding
Organise and record first aid, mental health & RIDDOR training
Ordering of first aid supplies
To manage bookings of lettings of school premises to outside bodies where appropriate
