Overall Objectives:
In your role as Secretary / Office Manager you will provide support to the Land Director & Head of Yorkshire and the Sales & Marketing Director, and other allocated staff as required. Providing assistance to the Senior PA – Property as required. You will be responsible for the smooth running of the Yorkshire Office by carrying out appropriate duties in accordance with Group Policies and Procedures, liaising with all Group functions as required. Manage office budgeting, cost control, producing reports and health and safety responsibilities.
Your main responsibilities will be:
1. To assist the Land Director & Head of Yorkshire and the Sales & Marketing Director with diary management, correspondence, preparation of Board papers liaising with Board PA.
2. To organise, manage and co-ordinate the activities of allocated staff, providing all related secretarial support.
3. To manage Yorkshire Office Company Events BY control event budgets and overall annual budget, Manage all external attendees including; timely invitations, travel to and from events and all requirements prior to the event, assist with the smooth running and oversee any charity fundraising elements.
4. Act as Project Secretary on allocated projects providing an efficient and high quality service to the Project Teams.
5. To ensure you have a knowledge and understanding of Company policies and procedures, especially those relevant to your own position.
Office Manager role:
1. Working with the Land Director & Head of Yorkshire to ensure the smooth running of the Yorkshire Office, providing a safe and clean working environment for staff by:
* Proposing and managing budgets, producing a half-yearly report.
* Maintaining Office Records, accurate Planned Proactive Maintenance (PPM) / Reactive works logged on Livelink (Office Reference File, Inventory and H&S files).
* Ensuring cost effective contract management and PPM schedule in place.
* Supervising and co-ordinating the work of contractors, ensuring the necessary Risk Assessments, Method Statements and public liability insurance papers are in place.
* Contribute to sustainable best practice.
* Contribute to a Business Continuity Plan to minimise disruption to core activities.
* Liaising with all Group functions as required.
* Timely reporting of defects on site to enable swift repairs to take place.
2. Provide an efficient and professional service for the Yorkshire Office by ensuring:
* Telephones are answered and messages circulated promptly.
* A welcoming and professional visitor interaction.
* Reception and meeting rooms are clean and tidy.
* All promotional materials are readily available and relevant.
* Stationery and catering supplies are well stocked.
* Hot Desk availability is up-to-date.
3.As the Health & Safety Representative for the Yorkshire Office you will liaise with the Group Health & Safety Manager to ensure your duties and responsibilities are met in relation to health and safety issues by:
* Ensuring that the quarterly office inspections are checked and recorded appropriately in the Fire Management File. Raise any faults through weekly office fire checks as soon as possible.
* Arranging PAT Testing as and when required.
* Reviewing the generic ‘Office Risk Assessment’ annually and display on notice board.
* Deliver new starter inductions.
* Checking and updating noticeboards and Intranet.
* Reviewing and updating the ‘Health & Safety Operational Plan – Offices’. reviewed and applied liaising with Group Health & Safety Manager.
* Regularly maintain your knowledge in relation to health & safety policies and procedures.
Qualifications, Knowledge & Experience:
Essential:
* Previous secretarial or administration experience.
* Excellent level of computer literacy in all Microsoft packages (Word, Teams, Excel, Powerpoint and Outlook).
* Hold a full UK driving licence.
Desirable:
* Recognised typing or word processing qualifications.
* One drive and Adobe / Nitro Pro experience.
* Enthusiasm for embracing new technologies.
* Minute taking experience.
* Previous experience of working in a project related environment.
* Previous experience of working in a housebuilding environment.
* Experience of purchasing procedures/software.
* Knowledge in event management.
* Previous experience in Office Manager role.
* Previous Health & Safety experience.
* Previous experience managing budgets.
