The Role
Based in our Portbury Warehouse, this newly created role will ensure complete inventory accuracy, system integrity, and administrative control within the warehouse. The role is responsible for overseeing the Inventory and Admin team, managing the Warehouse Management System (WMS), and ensuring that all stock, data, and system workflows support operational efficiency and excellent service delivery. This role acts as the WMS owner, providing expertise, governance, and continuous development of warehouse system processes.
A key focus will be on building robust performance baselines, developing tools for proactive planning and forecasting, and ensuring readiness for future growth through structured project management.
As a member of the Fulfilment Centre Leadership Team, the role will work closely with peers — including Shift Managers and Team Leaders — to drive operational initiatives, foster team collaboration, and enable shared ownership of performance improvement.
Key Responsibilities
1. WMS Maintenance and Optimisation
· Act as the functional owner of the Warehouse Management System (WMS) across the Fulfilment Centre.
· Configure and maintain system rules, user access, master data, location settings, and process flows.
· Lead the development and rollout of WMS enhancements, working with IT and vendors as required.
· Be the point of escalation for WMS issues and errors, supporting root cause resolution and user training.
· Continuously improve WMS usage to support efficiency, accuracy, and user adoption.
· Providing training and support on WMS operations, new processes, and best practices.
· Creating and maintaining clear process documentation and user guides.
2. Operational Support & Governance
· Ensure inventory and admin functions support operational peaks, projects, and CI initiatives.
· Collaborate with Warehouse Shift Managers, Supply Chain and Customer Service to ensure stock availability and data accuracy.
· Monitor KPI's related to stock accuracy, system transactions, admin timeliness, and WMS health.
· Produce reports and analysis for senior management on inventory trends and systemic issues.
3. Warehouse Shift Support
· Managing the day to day workload of the Operational Support Team. This will encompass warehouse administration, stock control and space planning in order to support the warehouse shifts.
· Working alongside our 3PL providers, to ensure that the correct levels of stock are available on site for immediate despatch to our customers.
· Ensure all admin processes align with operational workflow and service commitments.
· Ensuing that our Customer Service operation is fully supported with regards to any customer service queries or issues.
4. ERP System Superuser
· Providing training and support to warehouse staff on ERP system operations, new processes, and best practices.
· Creating and maintaining clear process documentation and user guides.
· Addressing user inquiries about the ERP and related technical issues.
5. Leadership & Team Development
· Lead, coach, and develop the Inventory & Administration team, ensuring clear roles and performance expectations.
· Foster a culture of accuracy, process ownership, and continuous improvement.
· Support cross-training and skills development across the function to build resilience and flexibility.
· Champion best practice across the warehouse in stock handling, data accuracy, and system usage.
· Actively contribute as a member of the Fulfilment Centre Leadership Team.
· Partner with Operational Shift Managers and Team Leaders to drive shared initiatives and support collaborative delivery of operational improvement.
· Foster a proactive, open, and inclusive leadership culture across shifts and teams.
Key Skills & Experience
· Proven experience in inventory management and warehouse systems administration in a high-SKU environment.
· Hands-on expertise in WMS usage and configuration
· Strong understanding of inventory control techniques, root cause analysis, and continuous improvement.
· Confident with data and reporting (Excel, Power BI, or other tools) to monitor performance and investigate issues.
· Experience managing or developing high-performing admin or inventory teams.
· Comfortable working cross-functionally with operations, supply chain, finance, and IT teams.
· Highly organised, process-driven, and detail-oriented.
· Strong project management skills — structured, and delivery-focused.
· Change management experience – leading the change from Stock Control to Inventory Management.
· Collaborative and engaging leadership style — able to coach, influence, and inspire others at all levels.
· Confident operating as part of a leadership team and working closely with peer managers to drive performance and cultural alignment.

Salary and benefits
The salary is up to £50,000 per annum plus a highly competitive benefits package.
