We are recruiting a proactive and experienced Property Administration Manager to lead our property admin team.
Our Property team manages a portfolio of over 500 properties in Glasgow. It comprises general administration, maintenance workers, technicians and painters.
The Property Admin Manager will lead a team of 3 property administrators, ensuring a seamless and effective administration function. The role also involves liaising with other property managers and external stakeholders to ensure operational excellence. This role is fully office based.
Main Duties and Responsibilities
* Responsible for leading the team to effectively plan and allocate works, including actioning all works from legal compliance reports.
* Accountable for establishing and maintaining quality standards and timelines for all works (internal, landlord or factor).
* Ensure all works are updated / attended and completed on time by focusing the admin team on key areas, overdue work requests, tenanted repairs, void completion reports and landlord repairs.
* Update the Property Maintenance and Health & Safety Manager on void progress and proactively advise where there are potential risks to agreed timelines with data and detail of outstanding voids/works/blockers to completion of any works.
* Work closely with Head of Property to build collaborative and cooperative relationships with external landlords and contractors.
* Support the Head Of Property with contractor review, provide relevant analyzed financial and performance KPI data.
* Actively contribute to the Property Function annual business plan and with the admin team deliver the plan achieving continuous service development and improvement.

What You Can Expect From Us
* Your normal working hours are 35 per week, Monday to Friday, 8am to 4pm.
* Your main place of work is Rosemount Business Park, Charles Street, Glasgow, G21 2QA.
* Annual leave entitlement of 210 hours (equivalent to 6 weeks) pro rata per year in the first year rising to 280 hours (equivalent to 8 weeks) pro rata per year in the second.
* You will be automatically enrolled into the People’s Pension in the month that you will complete 3‑months of employment, provided you meet the auto‑enrolment criteria.
