Medical Team Secretary

We have a band 4 Medical Team Secretary role suitable for an administrator with knowledge of medical terminology, preferably in a mental health setting.
The role is within the Acute & Urgent Care Division (Inpatients), based at the friendly and supportive team at Oak Unit, Forest Lane, Kingsley Green, Radlett, Hertfordshire, WD7 9HQ.

Main duties of the job
* Be responsible for prioritising work, typing clinical and general administration correspondence, and be the first point of contact for patients and other visitors to the unit.
* Provide a comprehensive secretarial service to the Consultants and Clinical Team and uphold a high standard of service to patients.

Job responsibilities
* Managing diaries for the Consultants and clinical team.
* Managing and prioritising departmental workload on a day-to-day basis.
* Supporting the Consultants and Team in the delivery of excellent patient care by actively working with colleagues and other departments to ensure that all patients registered within the service are proactively supported through their patient journey.
* Ensuring all telephone calls are answered within the department during core office hours.
* Opening and dealing with departmental post and allocating resulting work to appropriate staff.
* Monitoring turnaround times for clinical correspondence and taking corrective action as required, in conjunction with the Consultants/Clinical Team.
* Providing Consultants/Clinical Team with relevant information relating to administrative service.
* Taking minutes at secretarial staff meetings and attending other administrative meetings as required.
* Ensuring office equipment is in working order and office supplies are maintained and replenished.
* Coordinating any action plans set by the team.
* Updating and maintaining trackers.

Person Specification
Qualifications / Education / Training
* Intermediate level experience in Word, Excel, PowerPoint.
* Solid experience in administration.
* RSA Level 3 / NVQ Level 2 or equivalent.
* Proficient knowledge of PARIS.
* Experience working in a Mental Health environment.
Skills / Knowledge / Ability
* Independent/lone working and team working skills.
* Experience taking minutes in meetings.
* Experience in diary management to book appointments and meetings.
* Microsoft Teams.
* Knowledge of medical terminology.
Analytical skills
* Responsibility for maintaining accurate records of patient details, notifying all professionals and agencies involved.
* Expertise in data entry and reporting.
Communication
* Excellent verbal and written communication skills in person, on telephone, or email.
* Good standard of English.
* Experience in dealing with people in distress in a calm and confident manner.
