Role Overview
To ensure the provision of day-to-day administrative functions in ED, making sure the areas run effectively and efficiently while maintaining high standards of performance. This includes focusing on patient experience and care, quality assurance, and efficient administrative processes, and involves supervision of administrative staff.
Key Responsibilities
* Ensure the 24/7 smooth running of the Reception and Patient Navigator role, filling shifts promptly when vacancies arise.
* Proactively assist with the management of issues raised at administration meetings as necessary.
* Produce and manage administrative rotas, ensuring appropriate and adequate cover twenty‑four hours a day.
* Coordinate departmental training courses.
* Supervise ED administration staff.
* Recruitment and training: assist with short‑listing, interviewing, and recruitment of staff; induct new ED administration staff; provide training to ensure staff can cope in the event of a major incident and that mandatory training is up to date; complete leavers and variation forms.
* Follow the Trust Promoting Attendance Policy and complete return‑to‑work interviews as required.
* Assist with workforce data required by Human Resources, including completion of the blue positive reporting book, iPoint, and E‑Rostering.
* Assist the ED Service Admin Manager with design and distribution of administrative rotas, maintain an adequate level of staff, and manage AL requests, escalating any issues.
* Check bank shifts for authorisation by the ED Service Delivery Manager.
* Review staff as part of the KSF process, ensuring they have an ongoing training plan.
* Assist in coordinating ED administration meetings and ensure robust communication between staff.
* Encourage administrative staff to complete their statutory and mandatory training.
