Overview
Eden Recruitment Ltd is seeking a highly organised and proactive Executive Assistant / Business Administrator to support the Global Director of Business Operations at a leading global hedge fund.
This pivotal role goes beyond traditional administrative duties — the successful candidate will act as a strategic partner, enabling the Director to focus on high-level initiatives that shape the organisation’s global workplace culture.
Key Responsibilities
* Manage a complex, global calendar including meetings, events, and travel schedules to ensure efficient use of the Director’s time.
* Coordinate all aspects of domestic and international travel — flights, accommodation, visas, itineraries, and expense reports.
* Prepare meeting agendas, take minutes, and track follow-up actions; assist in organising high-profile internal and external events.
* Act as a key liaison between the Director, internal teams, and external partners, ensuring clear communication and timely execution of priorities.
* Collaborate with Workplace Operations teams to support initiatives, track progress, and maintain accurate project documentation.
* Manage administrative functions such as correspondence, presentations, purchase orders, and confidential documentation.
* Oversee procurement processes and relationships with suppliers, contractors, and vendors to ensure cost-effective service delivery.
* Provide proactive support on ad hoc projects — anticipating needs, identifying challenges, and offering practical solutions.
Candidate Profile
* Experience: Degree calibre with proven track record supporting senior executives in a complex or global organisation — ideally within financial services or a fast-paced corporate environment.
Skills:
* Exceptional organisational and time-management abilities.
* Strong interpersonal and communication skills; confident liaising with senior stakeholders worldwide.
* Highly discreet and professional when handling sensitive information.
* Proactive, resourceful, and solutions-oriented approach.
* Advanced proficiency in Microsoft Office Suite and collaboration platforms (Teams, Zoom, Slack).
