Job overview

We are looking for an enthusiastic, well-motivated individual to join our busy Emergency Department.

The successful candidate will need to possess excellent communication skills and must be able to work under pressure.

Working with minimal supervision the candidate must be able to use their own initiative.

Southport and Ormskirk Hospital NHS Trust provides healthcare in hospital and the community to 258,000 people across Southport, Formby and West Lancashire.

Acute care is provided at Southport and Formby District General Hospital and Ormskirk District General Hospital. This includes adults’ and children’s accident and emergency services, intensive care and a range of medical and surgical specialities. Women’s and children’s services, including maternity, are provided at Ormskirk hospital.

The North West Regional Spinal Injuries Centre at Southport hospital provides specialist care for spinal patients from across the North West, North Wales and the Isle of Man.

The Trust also provides sexual health services for the Metropolitan Borough of Sefton.

The JD & PS are currently under AfC review and are subject to change

Main duties of the job

* The successful candidate will need to be flexible to cover their colleagues’ shifts for annual leave and sickness.
* Keyboard skills are essential and previous experience of the Patient Administration System would be an advantage although training will be given.
* The successful candidate will be expected to work 15 hours per week over a 24 hour period which will include days, nights, weekends and Bank Holidays.
* This post will be subject to a Standard DBS Check.

Acute Care

Providing emergency and maternity services at Whiston, Southport and Ormskirk hospitals, and medical and surgical specialties across all our sites.

Primary Care

Providing primary care services at Marshalls Cross Medical Centre situated in St Helens Hospital.

Community Services

Providing adult community services for St Helens and a wheelchair service in Chorley, South Ribble, and West Lancashire. Our inpatient unit at Newton Community Hospital is where patients needing acute hospital beds can continue rehabilitation, freeing up space for more unwell patients. We also provide urgent care at our Urgent Treatment Centre located in St Helens town centre.

Specialist Regional Services

We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.

Detailed job description and main responsibilities

KEY DUTIES

* Maintain a customer/ patient-focused service to patients, relatives and staff accessing the A&E department.
* Ascertain identification details for completion of the A&E computerised module.
* Answering patient telephone enquiries and liaising with other wards, departments, and hospitals within the Region.
* Validation of in patient/outpatient attendees for Medicash/DSS/BUPA etc.
* Key in admission and discharge details as required.
* To monitor the EMIS system and print of report for attendance for patients when required.
* To work under own initiative with adherence to departmental SOP’s and procedures, ability to escape to Team leader when required.
* Effective liaison with the clinical teams to aid the smooth running of the A&E department.
* Communicate effectively and calmly in difficult situations.
* To ensure compliance of the Trust’s Quality initiatives.
* To participate in modernisation initiatives within the department.

CLINICAL & PROFESSIONAL RESPONSIBILITIES

* Registration of patients by hospital procedure of all new attenders to the unit. Utilising the demographic checks provide by the personal demographic service (PDS) system.
* Completion of daily/monthly statistical information.
* To have knowledge of the CPIS system alerts.
* Daily scanning of A/E record cards including diagnostic reports.
* Request records and prepare documentation and x-rays for the fracture clinic.
* Daily collection of patients Xray/pathology results for cross referencing on the Medway system for future attendance and distribute accordingly.
* To register and schedule Fracture clinic appointments within clinical timescale.
* To add patients to the escalation lists on Medway when appropriate.

ADMINISTRATIVE RESPONSIBILITIES

* Utilisation of the computerised system, Medway, to identify patients who have had previous contact with Southport & Ormskirk Hospitals.
* Ensure accurate and timely input of data onto the computer system, in relation to patients attending the A&E department.
* Retrieval of A/E record cards when necessary.
* Provision of cover on the A/E rota for other clerical staff within the department as/when necessary, e.g. sickness, absence, annual leave.
* Provide cover as required for Bank Holidays.
* Open and sort mail in accordance with departmental procedures.
* Booking patients into Medway System on arrival at the outpatient review clinic and to schedule review appointments.
* To monitor the generic email address and action.

TEACHING & TRAINING RESPONSIBILITIES

* Participate in training programmes as arranged for the department.
* Ensure compliance to all Trust risk management procedures.
* Participate with management in the change process within the team.
* To assist in the training of new staff members within own role.
* Careful use of own equipment and escalation to Team leader of low stock levels


Person specification


Qualifications

* Educated to GCSE level or equivalent experience
* European Computer Driving Licence (ECDL)
* NVQ 2 in Customer service


Knowledge and Experience

* Good knowledge of Administrative Systems
* Experience of dealing with customers
* Experience of dealing with complaints
* Previous NHS experience
* Knowledge of Medway or other Patient Administrative System


Skills

* Ability to move case notes as required
* Ability to use own initiative when dealing with patient’s enquiries
* Good organisational skills
* Ability to prioritise own workload
* Ability to recognise and solve problems and identify when further advice is required
* Excellent interpersonal skills with ability to use tact and diplomacy
