We are seeking a highly organized and detail-oriented Document Controller to join our team at Swadlincote. As a Document Controller, you will be responsible for managing, organizing, and maintaining all project and company documentation securely and efficiently. This role ensures that documents are accurate, up-to-date, and easily accessible to relevant stakeholders, supporting compliance, quality assurance, and operational efficiency.
Key Responsibilities
1. Handling intake, scanning, and storing documents.
2. Ensuring all company documentation is duly filed (both hard and electronic copies) with tracking logs up to date.
3. Filing and archiving relevant documentation.
4. Controlling the flow of documents in and out of the department and managing document transmittals.
5. Preparing transmittals, distributing documents and correspondence effectively, and maintaining logs.
6. Assisting the project team in searching for and retrieving documents/information.
7. Managing project folder structure and ensuring adherence to requirements.
8. Informing project team members of all revisions and additions to project documents.
9. Providing management tools such as status reports, input audit reports, and other monitoring reports as required by project leadership.
10. Liaising with external consultants, subcontractors, and customers regarding document management and approval issues.
11. Managing project deliverables.
12. Producing and maintaining project documents such as operation & maintenance manuals, asset registers, technical submittals, weld logs, pressure testing schedules, etc.
13. Compiling project sign-off documentation.

Specific Qualifications
1. Proven experience in a document control or administrative role, preferably in construction, engineering, or manufacturing.
2. Strong understanding of document control standards and best practices.
3. Familiarity with quality management systems and inspection techniques.
