Senior Personal Assistant needed in Preston, £18.26ph PAYE - Reference: 5266836
The role of an Executive Director Senior Personal Assistant involves working within the Senior Leadership Team to provide a confidential, effective, and efficient service to the Executive Directors. This includes managing complex issues, such as sensitive and confidential matters, and demonstrating a high level of initiative to pre-plan work, schedule diary appointments, and prioritize mailboxes. Excellent communication skills are essential for interacting with internal and external 'customers' and high-level stakeholders.
Key responsibilities include:
1. Providing day-to-day leadership and direction to the Director Personal Assistants and/or the Business Support Team, ensuring team objectives are met.
2. Acting as the first point of contact for correspondence and phone calls.
3. Proactively managing and coordinating the diaries of the Executive Directors, arranging meetings, preparing briefing papers, and ensuring appropriate breaks and responses.
4. Planning and organizing travel and accommodation arrangements.
5. Maintaining effective filing and data storage systems, including emails and retrieval systems.
6. Providing full personal assistant support, including drafting routine letters, minute-taking, message handling, and administrative tasks.
7. Managing administration and coordination of SLT meetings and other key meetings, including agenda planning, minute-taking, and action follow-up.
8. Arranging meetings, including invitations, agendas, liaising with venues, and circulating minutes.
9. Understanding the Executive Director's business and hierarchy of contacts.
10. Keeping updated with policy and legislative changes relevant to the service.
11. Communicating regularly with other agencies and service providers to share information and build relationships.
12. Supporting and supervising the Director Personal Assistants and Business Support Officers, including performance management and workload sharing.
13. Overseeing systems and processes, providing guidance on handling difficult situations, and escalating issues when necessary.
14. Ensuring the VIP Function operates effectively and follows procedures.
15. Undertaking lower graded roles if required and adapting to changing responsibilities.
This is a full-time role on a temporary contract basis.
