Responsibilities
* Prepare and manage annual service charge budgets and reserve fund plans with clients
* Ensure timely creation, approval and distribution of annual service charge accounts
* Issue and collect service charges in line with lease terms and initiate recovery action when needed
* Monitor working capital, report fund status to clients and ensure management fees are invoiced and paid
* Obtain buildings insurance instructions, ensure adequate cover and manage claims and related repairs
* Conduct regular site inspections, report findings and arrange remedial works
* Maintain cyclical maintenance plans and instruct contractors for repairs, verifying work completion
* Approve contractor invoices and maintain accurate financial records
* Prepare estate review packs and updates for internal and client meetings
* Respond to leaseholder enquiries, issue communications and host estate meetings and events
* Arrange and attend AGMs when required, take minutes and follow up on agreed actions
* Arrange statutory health and safety inspections (e.g. lifts, fire, water systems) and ensure completion of remedial actions
* Coordinate major works in line with maintenance plans or incidents and manage Section 20 processes with third parties
* Supervise estate-based staff and ensure high standards of site presentation and service delivery
Qualifications / Requirements
* Experience in property or block management, including service charge and leaseholder engagement
* Strong financial acumen, with the ability to manage budgets, monitor working capital and oversee invoicing
* Excellent communication and interpersonal skills, both written and verbal
* Ability to lead and motivate cross-functional teams, including estate-based staff and contractors
* Attention to detail and a results-oriented mindset, ensuring high standards of service delivery
* Knowledge of health and safety legislation, including arranging statutory inspections and managing remedial actions
* Ability to manage major works and Section 20 processes, coordinating with clients and third parties
* Property management qualification, such as MTPI (desirable)
About the role
This is a hybrid role with travel required to Kew Bridge and Wembley with occasional travel to Birmingham.
