2/3 Worcester Street, Oxford, OX1 2BX Student Welfare and Support Services (SWSS) Administrative Assistant (Grade 5) Are you a highly organised and proactive administrator ready to contribute to activities shaping inclusive education and student welfare at a world-leading university? Join Student Welfare and Support Services and play a key role in providing administrative support for the successful delivery of the University of Oxford’s commitments under the Access and Participation Plan. You will be helping to enhance our services for disabled students through effective co-ordination, communication and project support. Location: 2- 3 Worcester Street, Oxford, OX1 2BX Salary: Grade 5: starting salary £32,108 rising incrementally to £37,338 per annum pro-rata (includes Oxford University weighting) Hours: Full time – 36.5 hours per week year round Part time working considered, with a minimum of 29.2 hours (0.8FTE) Contract: Fixed-term (3 years – until 31st July 2029) - due to the length of contract, this role is not available as an internal secondment

About the Role

You will provide high-quality administrative and coordination support across a range of project activities, contributing to work that fosters inclusive environments and addresses awarding gaps. Working closely with the project manager and other project leads, you will support cross-institutional collaboration with colleagues across the collegiate University—including academic divisions, colleges, and central services. You will help coordinate activity, manage documentation, and support clear and effective communication between stakeholders, including collaborative work with students. You will manage a varied administrative workload and contribute to the smooth running of the project. Key aspects of the role include:
8. Coordinating meetings, events and project activity across multiple stakeholders
9. Drafting and managing correspondence, documentation and project materials
10. Supporting administrative and financial processes, including monitoring budgets and expenses
11. Maintaining accurate records and ensuring compliance with University procedures and data protection standards
12. Identifying opportunities to improve administrative systems and processes

About You

13. The ability to manage and prioritise a varied workload, working effectively to deadlines

16. Proven experience of providing high-quality administrative support, including drafting correspondence
17. Good numeracy skills and experience of routine financial administration
18. Experience of working within established processes and procedures, with the ability to identify and implement improvements
19. Strong IT skills, including proficiency in Word, Excel, PowerPoint and SharePoint
