Vacancy has arisen for a full‑time Ward Clerk to work in the Medical SDEC Unit. The successful candidate will work on a flexible rota of 12‑hour shifts, rotating weekends and bank holidays. Bank holidays and weekends are paid at an enhanced rate.
As part of the Ward Clerk team you will support nursing and medical staff with a comprehensive administrative function, and cross‑cover other wardsunits in the service line.
Preference will be given to internal Trust staff, as well as to individuals with ‘Priority’ and ‘At‑Risk’ status, including NHS At‑Risk staff across Devon who can demonstrate recent relevant experience as directed by the Person Specification.
Main duties of the job
The successful candidate will have at least GCSE standard or equivalent, or prior demonstrable experience in a reception or clerical role. Experience dealing face‑to‑face with the public and difficult customers/patients, working in a pressurised environment, and handling telephone and email enquiries is required.
Applicants should be mature, responsible, and possess strong written and verbal communication skills, with a good sense of humour. You will need to work independently and as part of a wider team. Training will be provided for the various information technology systems used within the Cluster Group.
Job responsibilities
* Check patient details on admission and update on iPM as necessary.
* Manage enquiries, including telephone enquiries, under the direction of nursing staff.
* Maintain hospital notes in accordance with University Hospital Plymouth policies.
* Enter admissions and discharges on SALUS, iPM, System One, and CRIS, including ward, clinical, and specialty transfers, updating patient information where required.
* Trace notes in and out of the ward using the computerised tracing system.
* File notes correctly when patients are discharged, transferred, or taken to bereavement services.
* Notify GP in the event of a patient death.
* Report faults to Estates for repair in a timely fashion.
* Make up admission packs as appropriate.
* Distribute post and redirect mail.
* Work closely with medical staff and other members of the disciplinary team.
* Request transport as required.
* Book new and follow‑up appointments for patients.
* Ensure notes are available for clinical coding after discharge.
* Perform other duties allocated by the Ward Manager or Directorate Support Manager.
* Use a variety of systems such as CRIS, System 1, iPM, and SALUS.
* Book hot clinic appointments.
Person Specification
Essential qualifications
* GCSE (9–4) in Maths & English and NVQ Level 2 in business administration or a related subject, or equivalent demonstrable experience.
Essential knowledge & experience
* Previous reception/clerical demonstrable experience.
* Proven relevant ICT skills.
* Experience dealing face‑to‑face with the public and difficult customers/patients.
Desirable
* Previous clerical/admin experience within a Primary Care Trust.
* Proven knowledge of hospital systems.
Aptitude & abilities
* Strong communication skills, written and verbal, with fluency, clarity, and effectiveness at all levels.
* Ability to utilise own initiative.
