The What...
As an Administration Assistant, you will be responsible for providing administrative support to the Administration team and support functions across the business. Your organised and methodical approach will ensure that all requests are resolved within a timely manner, maintaining excellent internal relationships and establishing credibility, quickly.
Having administration experience across multiple teams and projects, alongside exceptional communication skills, will set you up for success in this role.
You'll need to be able to work from your own initiative, paired with a positive and proactive attitude to everything you do. As well as:
* Previous experience across multiple functions of a business
* Multi-support experience in the private sector
* Experience in managing own workload, prioritising where required
* Experience in taking responsibility for implementing and monitoring projects
* Confident with Word/Excel/PowerPoint
* Confident and assertive
* Organised and methodical
* Able to work on their own initiative and as part of a team
* Able to build relationships with internal customers and establish credibility quickly
* Able to demonstrate excellent written and verbal communication skills
* Able to provide helpful, friendly, professional customer service to centres
* Maintain a flexible and "can do" approach with attention to detail evident at all times
Here are some highlights of the role:
* Collate, produce, and circulate business communications
* Attend various meetings, prepare papers, minute take and circulate actions
* Prepare various meeting packs for regular monthly meetings
* Ensure company Intranet updated for various areas of the business
* Social events/fundraising, help with arrangements for social and charity events
* Liaise with Landlord and contractors for the Hemel Support Centre regarding visits, maintenance issues, call outs, following up to ensure resolved or escalating as required
* Produce purchase orders as required for the business
* Maintain all contact lists for company contractors
* Maintain all org charts for the company
* Source and book meeting rooms as required
* Review invoicing for hotels, couriers, stationery, etc.
* Complete reconciliation and coding of company credit card
* Keep holiday schedules and meeting schedules up to date
* Support the Executive Assistant, as required
