Position Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to support our day-to-day operations. This key role is instrumental in ensuring smooth communication, efficient office procedures, and accurate documentation across our roofing and siphonic drainage projects.
The ideal candidate will thrive in a fast-paced environment and be confident managing multiple tasks simultaneously. You'll play a vital role in maintaining operational efficiency and supporting both internal teams and external stakeholders.
Key Responsibilities
* Perform daily administrative tasks to support office functions
* Manage incoming calls, emails, and correspondence, ensuring timely and professional responses
* Schedule appointments, site visits, and project meetings for management and field teams
* Prepare, format, and distribute project documents
* Maintain organised digital and physical filing systems for client and project records
* Assisting with purchase ledger administrative tasks
* Ordering materials, machinery, and office supplies
* Assist with HR-related tasks such as maintaining employee records and tracking certifications
* Support marketing efforts with basic social media updates and internal communications
* Ensure the office is well-stocked, tidy, and operational
* Provide general administrative support to management as required.
Essential Skills & Experience
* Excellent organisational and time-management abilities
* Strong written and verbal communication skills
* Proficiency in Microsoft Office
* Proven experience as an Administrative Assistant, Office Administrator, or similar role
* Ability to work independently and collaboratively within a team
* Familiarity with project management tools, e.g. BigChange, Trello, Xero etc.
* Experience in the construction, roofing, or engineering sector is advantageous
