Hours of work: Full time (Monday – Friday, 09:30 – 17:30) with occasional weekend work
Key external partners: Avex Classics International’s head office in Tokyo (ACI Tokyo), freelance producers, promoters, agents and freelance artists and technicians

Company overview: Established in 1988, the ACI London team is passionate about music, arts, and immersive entertainment, managing a roster of international artists and productions such as Avatar Live in Concert, Amadeus LIVE, Titanic LIVE, and more. We are a small, dynamic team with a global operation, collaborating with diverse cultures and managing multiple productions.
Purpose of role: Support the HoIO, DHoIO, and the existing operations team in coordinating and administrating the delivery of ACI’s international productions and artist performances to the highest standards, aligning with company goals.
Key responsibilities include:
* Administration of artist and promoter contracts in liaison with the OM and legal team in Tokyo.
* Coordination of marketing materials, ticket analysis, concert program approval, and promotional support.
* Updating production riders and collaborating with technical partners.
* Booking and contracting artists and staff, assisting with budgets.
* Arranging travel, visas, work permits, and creating detailed itineraries.
* Managing production logistics, including technical delivery, rehearsals, performances, and artist welfare.
* Supporting accounts with invoice and expense management.
* Updating records on booking software, social media, website, and marketing materials.
* Researching and developing new productions, and undertaking additional duties as assigned.
Skills required:
* Degree or equivalent qualification
* At least three years’ experience in concert, artist, or event management
* Strong organizational, communication, and problem-solving skills
* Attention to detail and ability to work efficiently
* Proficiency in Microsoft Office, experience with Overture software preferred
* Languages, marketing, and PR skills advantageous
