Job Context
Stantonbury School is looking to appoint an experienced exams officer. This role will be responsible for the overall management, administration, organisation and smooth running of internal and external public examinations and the use of assessment data. As part of the data and exams team, the post holder provides a support service to all students and staff with exam related issues and undertakes data tasks as requested.
Key Responsibilities
* To manage all administrative tasks and processes associated with the preparation and undertaking of all external exams including all statutory requirements.
* To manage all the admin & processes for running and assessing all internal exam arrangements and any other formal or informal testing.
* To interview, train & supervise a team of exam invigilators to ensure appropriate numbers are able to be deployed during the session.

Job Description
External Examinations
1) Accurate input of all exam entries provided by the teaching staff on to the current school MIS system, including checking pupil identity numbers and syllabus details from faculties.
2) Receive documentation from the exam board and check entries are correct and agreed by both students and staff.
3) Raise queries with relevant parties over student entries or non-entries and entry levels
4) Communicate with students, staff and parents as appropriate and ensure that they are appropriately informed regarding student public examination entries and any subsequent complaints or queries.
5) Check all exam papers on delivery and arrange secure storage.
6) Preparation of overall and individual timetables arranging supervision and timetable variations for students with exam clashes.
7) Maintain adequate supplies of examination stationery and order more when required.
8) Responsible for the daily running of public examinations including practicalities and to liaise with the Site Manager regarding the set-up of furniture in examination rooms.
9) Ensure rooming/venues for examinations meet regulations and are appropriate.
10) Ensure that key exam policies are reviewed and revised where necessary in readiness for inspection each year
11) Produce and distribute to relevant staff, examination timetables and seating plans from the
school MIS.
12) Responsible for overseeing the access arrangements, in conjunction with the Director of Inclusive Learning, and to ensure regulatory compliance by ensuring that systems and structures are in place for students to receive the appropriate entitlement to SEN support in examinations and assessed work
13) Brief students and staff on examinations conduct, procedures, rules and regulations and to ensure high standards of compliance
14) Check DfES statistics and examination results information before publication
15) Ensure that all examinations and assessed work are carried out in line with Examination Body Regulations
16) Provide information to the Examination Bodies
17) Administer systems to collect and forward pupil entries and other data to the Examination Bodies
18) Ensure that students are briefed fully regarding Examination Body requirements and regarding examination entries
19) Receive, register, store and distribute examination papers in line with security measures laid down by the JCQ
20) Organise for the collection, storage and dispatch of papers, coursework and other forms of assessment for marking in line with security measures laid down by the Examination Bodies
21) Responsible for the checking of examination certificates and distribution thereof
22) Deal with and organise resit examinations with students and charge the relevant fee
23) Ensure the billing of examination entry fees from absentees and arrange for remarks and reports and deal with queries about exam results
24) With instances of malpractice, ensure the correct procedures are followed and appropriate organisations and staff informed
25) Organise the issue of results and certificates to students
26) Organise the dissemination of results information to staff
Internal Exams and Assessments
27) Manage the processes and arrangements for all internal exams (as for external) including Year 7 CAT tests, internal mock exams or progress point tests.
Exam Invigilators
28) Organise the team of exam invigilators including all aspects of their performance, training, timesheets and workflow.
29) Participate in the interviewing and selection of new invigilators as required.
Other
30) Assist the Assistant Head with the Timetable curriculum set up - new groupings, classes for each student years 7-13
31) Support the Data Manager to administer CATS/PASS/Literacy Online and multiple 3rd party software, extract data and present in GO
32) Any other task as requested by SLT that is commensurate with the role and the paygrade.
The role is 37 hours per week / 41 weeks per year.
