Private Client Administrative Assistant Location: Worthing, West Sussex Employment Type: Full-time (office-based with some flexibility depending on business need) About the Role We are looking for a proactive and organised Private Client Administrative Assistant to join a busy Private Client team. This is an excellent opportunity for someone who is client-focused, calm under pressure, and has exceptional attention to detail-particularly when working on probate, wills, Lasting Powers of Attorney (LPA) and estate administration matters. You will work closely with fee-earners, supporting day-to-day file management, document production, client communication and general administrative duties within the department. Key Responsibilities Client Care & Communication Act as a friendly and professional first point of contact for Private Client enquiries Handle incoming calls, emails and walk-ins, ensuring clients feel supported and informed Schedule appointments and manage fee-earners' diaries Provide clear and timely updates to clients while maintaining confidentiality File & Matter Administration Open new matters, carry out conflict checks and prepare engagement letters Organise files (digital and paper) in line with firm procedures Assist with ID checks and AML requirements Liaise with third parties (banks, HMRC, care homes, asset holders) for information Document Preparation Draft standard documents such as: Will instruction sheets Probate forms LPA forms Letters to clients and third parties Estate Administration Support Collate asset and liability information for probate Update estate accounts and asset schedules Prepare documentation for the Probate Registry Monitor key deadlines and ensure timely progression of matters General Administrative Duties Photocopying, scanning, filing and post handling Maintain accurate data within the case management system (e.g., LEAP) Assist with billing, raising invoices and maintaining payment records Support fee-earners with ad-hoc administrative tasks as required Skills & Experience Essential Strong administrative experience, ideally within a law firm or professional services Excellent written and verbal communication skills High attention to detail and accuracy Ability to manage multiple tasks and priorities Strong IT skills, including case management systems and Microsoft Office Organised, reliable and able to work to deadlines Desirable Previous experience in Private Client work (wills, probate, trusts, estate administration) Understanding of SRA compliance and confidentiality obligations Experience with LEAP or similar case management systems Personal Qualities Warm, patient and empathetic-especially when working with vulnerable or bereaved clients A team player with a can-do attitude Professional, discreet and calm Driven to learn and develop within the Private Client field How to Apply: Online: Apply with your updated CV via the provided link.
