About the Role
GRAHAM are looking for an enthusiastic and experienced Site Administrator to join our team as we deliver a £30m upgrade at the National Railway Museum in York. In this role, you’ll provide vital support to the site team and help build strong working relationships across the wider project and division.

Our Site Administrators play a key role in keeping operations running smoothly, handling essential day-to-day tasks and providing dedicated administrative support. We’re looking for someone with excellent interpersonal skills, confident communication abilities, and the flexibility to thrive in a fast-paced environment where multitasking is essential. This is a fixed term full-time, site based position in York.

Job Description:
The Administrator will:
• Provide clerical support to the Project team (as required) including Contractual correspondence.
• Assist with the development and maintenance of filing and administrative systems.
• General management of documents on ViewPoint or similar EDS
• Management and control of all project-related documents, including drawings, specifications, and reports on EDS
• Prepare and maintain document templates and standards (inc Reports).
• Printing, copying and scanning of documentation as required (inc Handover info)
• Production and printing of reports and associated information for Meetings
• Management of correspondence – incoming and outgoing (Post)
• Take and record messages accurately.
• Facilitate meetings (both Internal and External).
• Generate weekly document trackers to inform team of new / changed documents
• Assist with compiling O&M / Health and Safety File
• Assist with collating and presenting BREEAM evidence
• Time sheets for weekly Graham operatives

Essential
• Must have solid previous experience in a similar administrative role
• Strong IT skills to include Microsoft Office suite
• Demonstrate ability to work on own initiative
• Demonstrate strong communication skills
• An excellent telephone manner, with great interpersonal skills - Previous use / knowledge of ViewPoint for Projects or similar EDS platforms
• Experience of Document Management Systems

Desirable
• Knowledge and/or experience of the Construction Industry
