Job PurposeResponsible for the day-to-day financial management of the Catering & Events directorate, supporting the Finance Assistant in the effective delivery and provision of accurate and timely management reporting.Responsible for maintaining a strong financial control environment, ensuring the accuracy of financial records and data integrity, whilst achieving service excellence through a strong customer focused ethos.Main Duties and Responsibilities1.Support the delivery of high-quality output with a strong focus on controls, process and reporting, as appropriate. This includes, but is not limited to:• Manage the Catering & Events mailbox, applying sound judgement and experience to resolve queries largely independently, providing clear advice and escalating appropriately when required ensuring effective service delivery…• Manage the purchase order process within Catering & Events ensuring compliance with procurement requirements and internal processes.• Manage the VAT coding of products, ensuring that the correct VAT codes are used for all sales and purchases.• Review transfers of stock on a weekly basis, ensuring compliance with internal processes and governance.• Review and manage commitment reporting, ensuring that purchase orders are goods receipted in a timely manner and that issues are escalated accordingly.• Manage all supplier queries relating to payment issues, ensuring these are resolved in promptly and any relevant parties are notified.2.Month End Processes & Controls• Responsible for supplier statement reconciliations, including resolution of reconciling items in a timely manner, ensuring that any more complex issues are communicated to the relevant parties.• Responsible for preparing monthly cash reconciliations• Responsible for management of service and rental contracts, including the raising of relevant PO’s and monthly goods receipting.• Support the Finance Assistant to ensure month end duties are delivered3.Continuous Process Improvement and Business Efficiencies• Challenge the status quo associated with current processes and work with the management to identify opportunities for process improvement and/or improved control.• Support management in the delivery of analysis to support recommendations to reduce / mitigate risk.4.Adhoc project work• Support the Finance Assistant (Catering) on any Projects.• Contribute to project work that will drive forward strategic benefits for the University and use financial data to validate proposals.Knowledge, Qualifications, Skills and ExperienceQualifications / KnowledgeEssentialA1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3, or equivalent, and experience of personal development in a similar role.
