Role Description Skills
Purpose of the Role
To provide operational and administrative support to the product team, ensuring smooth delivery of projects, efficient coordination across stakeholders, and timely execution of key processes. This role is critical for maintaining momentum on product initiatives and freeing up product managers to focus on strategic priorities.
Key Responsibilities
* Project Coordination: Work closely with the wider delivery function to provide product inputs and updates into workstreams, trackers, and governance processes. Ensure alignment between product priorities and delivery milestones.
* Operational Support: Schedule and manage meetings, workshops, and follow-ups with internal teams and external partners. Prepare agendas, capture actions, and ensure timely closure of tasks.
* Workshop Organization & Support: Coordinate logistics for in-person and virtual workshops (venue booking, invites, materials). Support facilitation by preparing content, capturing outputs, and ensuring follow-up actions are tracked.
* Documentation & Governance: Organize and maintain product documentation (roadmaps, briefs, FAQs). Support governance processes, including approvals and compliance checks.
* Communication: Draft and circulate concise updates for stakeholders. Coordinate with marketing and enablement teams for collateral distribution.
* Ad-hoc Support: Provide flexible support for a range of operational and team activities as needed. This may include assisting with onboarding, helping coordinate team events, supporting follow-up actions from key initiatives, and stepping in to address emerging priorities or logistical needs as they arise.
Skills & Experience
* Strong organizational and time-management skills.
* Excellent communication and stakeholder coordination abilities.
* Proficiency in MS Office; familiarity with tools like Jira, Confluence, or similar is a plus.
* Detail-oriented with ability to manage multiple priorities in a fast-paced environment.
Ideal Profile
* Previous experience in project coordination, PMO, or delivery support roles.
* Comfortable working in a tech/product environment with cross-functional teams.
* Proactive, adaptable, and solution oriented.
